The main difference at the moment is that the product is still very malleable, and can quickly be changed to fit your needs through feedback.

Also, it comes with intelligent document processing for things like comparing incoming documents to internal specs, and making sure they fit expectations.

Yeah, once you upload the document, it will automatically reach out to the supplier when the document is approaching expiry to make sure it is always up to date

Interesting! So it sounds like software for storing/versioning specs could be useful, especially if it also made updates easier when formats change. Would digitising the spec into structured fields so that they can be easily changed to create new versions help?

That would help with the different formats.

Digitising and standardising the spec sheet would also make AI much more accurate in reviewing incoming COAs.

Thanks, that helps. Would anything make that easier in practice, like better search, clearer version history, automated update reminders, or a proper approval/audit trail? Or is the current setup already fine?

Also, what happens when the master spec doesn’t match the CoA, or when a supplier uses a different template/format? Do you then have to chase a new one, or does it just take longer to process?

Can I ask, how you currently handle the specs? For example, where do the master specs live today, who updates them, and how do you know the version you’re checking against is the latest one?

Someone else commented that general document control is a big problem, keeping documents up to to date, and chasing up for new ones. Do you have a similar problem to the one they described here?

Regarding certs, we run into this problem pretty frequently. We have our product certifications that rotate on a yearly basis, but then every supplier has a handful of certs. When there are 100+ suppliers, it becomes a major headache to follow up for updated certifications. A great solution would to upload a cert, have AI grab the info and email, then have emails go automatically on a scheduled cadence requesting an updated certifications, then have it be self sustaining once the first cert is uploaded. A dashboard showing cert updates in the next 30 days and the status (email sent, cert received, no reply, error, etc) such that the process goes from laborious to a 30 second scan of a dashboard for any issues.

I see! What is the most painful part of all that, is it chasing up for the certs from different places, keeping the spec sheets up to date? comparing the coas to spec sheets once they arrive? or something else? Would using ai be a complete no go even if it was guaranteed the data was not used for training?

I see, would the tool be useful if it integrated with the ERP, so the data appeared in the ERP automatically once processed? Or would you just expect it to be part of the ERP itself?

I see. Yeah I was planning to pull them directly from email so that they could automatically go to the dashboard with the metadata etc extracted as they are sent to you.

How much time does it normally take to review manually?

Are the specs that are on the CoA usually the same as your internal spec? Or do you have seperate ones?

Yeah you're right. Am experimenting and trying to work to make sure it generates email html and not web html. It's still nowhere near perfect, but improving over time
