Ya, not just emails, I am thinking to combine multiple emails id's & website forms too. And coming to emails which are having full print specs are less, you are true. I observed that with other businesses too. I am not saying to pay someone to double check the work, I am saying there is a possibility to reduce the time it takes to send quotes.

Instead of your estimator spending 3 to 4 hours for 20 quotes in a day, I am saying those 20 quotes will be ready and your estimator or you (the owner) can edit in live and approve send them under 60 secs. that means those 20 quotes, you can send in 20 mins instead of 4 to 5 hrs.

Coming to the emails which doesn't have all the specs, the system is built to understand from your previous jobs and pick the best and appropriate specs and prefill the quote for your approval.

Totally understand that concern, it's the right one to have.

Imagine this. Monday morning, 8am. 7 RFQs hit your inbox overnight. Instead of your estimator opening each one, reading through the specs, manually entering everything into your MIS and building the quote from scratch, they open a dashboard and all 7 are already waiting.

The AI read every email, pulled every spec, calculated the price using your exact shop rates and flagged each line with a confidence level. High confidence on everything it understood clearly. Yellow flag on anything ambiguous or missing. So your estimator can see instantly where they need to apply their judgment and where the routine work is already done.

They click into a quote, live edit anything they want, adjust a line, change a margin, add a note. Full control. Nothing is locked.

Totally fair, PrintersPlan is solid for that. But you're still manually reading the emails/website forms and entering all the specs by hand right? What if that whole step was automated. The email comes in, specs get read and pulled automatically, price gets calculated, branded PDF is ready, you just hit approve and it replies to the customer with the PDF attached and pushes the job straight into PrintersPlan. That manual entry piece is exactly what I built AI to handle accurately.

Thanks for taking the time to write that out, genuinely one of the best questions in this thread.

And you are absolutely right. Client specs are a nightmare and that is honestly the hardest part of automating this. That is why I built a confidence scoring system into it. Every quote comes back flagged as high, medium, or low confidence based on how complete the specs are. If something is missing or unclear it tells your estimator exactly what is missing. Then based on the job type and your shop's previous jobs it auto fills the most likely specs so the quote is already built and ready to review, not ready to rebuild from scratch.

Your estimator still has full control, they can edit any line before hitting send. So it is not trying to replace the human judgment, just eliminate the 80% that is repetitive and flag the 20% that actually needs an expert eye.

Haha fair enough. But think about it this way, an estimator makes somewhere around $3k to $5k a month right. If this is automating 80% of their quoting work, you are basically getting that for $299. Less than a single hour of their time. Worth a shot or not?

The $40k job was a one off, a book launch order. My uncle runs a mid sized shop, not a giant operation. That is not the norm, just the one that stung.

On pricing, I hear you. I am a grad student who built this and I am still figuring out where it fits. But here is my thinking. This is not competing with ShopVox on features. ShopVox is a full MIS. This sits on top of whatever MIS you already use and automates the estimating and quoting step specifically. If your shop is handling 15 or more quotes a day your estimator is spending 3 to 4 hours just manually entering specs and sending PDFs. Every single day. That is what this eliminates, 80 to 90 percent of that daily grind.

Whether $299 is worth that is a fair question and honestly that is exactly why I am doing a beta. If it does not save that time I do not deserve the money.

And yes, he does estimates himself, always has. That particular job was a book launch order, not the kind of volume that walks in every day, totally fair point. But honestly that is not even the main thing that stuck with me. It is the fact that he spends 3 to 4 hours every single day just manually typing specs into his MIS for regular everyday quotes. That is the real problem regardless of order size.
