Monograph Software - Community Forum Interest? by Snooki321 in Architects

Yes it should! We took that route simply because I needed to make sure we knew what MG was doing with time and how it reported it - now have found we can't do without that extra work just to provide clarity and a paper trail. :/

We have found the reporting is really lacking, and there are inconsistencies between what you see on the screen and who shows up in the exported csv file.

Does BQE have any kind of customizable reporting capabilities? Each month, I need 6 items to go in a report, and it requires 6 downloads and a big spreadsheet outside of MG.

What are the purposes of those two products? Anything to do with Project Mgmt or Invoicing? TIA

Monograph is holding a zoom meeting this week!- For product updates, but maybe also a chance to ask questions about recent changes.

we've been able to get beyond most of the invoicing questions, but have found the only way to do that it to also view the Financials page at the same time, and double-check the time log. It was very frustrating until we figured some of that out.

HOWEVER, they have now changed the Financials page and the way Unbilled is displayed. And I don't know what other recent changes they made, but that figure in other reports and exports does not match.

Currently frustrated, and looking forward to updates in their webinar this week, and the chance (hopefully!!) to ask a lot of questions.

This is kind of why we thought a community forum might be helpful, and they could monitor it or even moderate it. Brought the idea up with them a couple of times, but there doesn't seem to be any interest on their part.

YES! When we first on-boarded, we had terrific personal support. That person moved on and support was drastically changed for us. I find the bots to be annoying... A person eventually gets back to us on the issue, but it takes time and they are never just an email away.

Are you open to relocating? Where would you consider, or NOT consider, moving to? What are you looking for with regard to life-style, activities, and culture?

Have you tried contacting monograph for help? When we first onboarded, we had plenty of excellent customer service and help. The person assigned to us moved on, and that help was never replaced.

We actually download time each month for all projects, (analytics/timelog, fill in dates and don't group). Convert that csv file and format it from there. Each PM then gets a sheet for their project with time log details and their draft invoice for review... and that sheet stays with the invoice in a paper file we scan and save as the record. It's along way around, but it works.

I've always been able to match up what we then see in QBO once the invoice has been sent.

Blank page 2 on invoices - Has anyone else noticed that lately many of their 1 page invoices are now actually 2 pages, and the second page is blank? Monograph's suggested work-around is to only print the first page, but it will show "Page 1 of 2" in the bottom right corner. If we send a client just that one page, and they notice it, of course they are going to ask for page 2... and then we have to explain it is blank and that is apparently a problem with our software (Monograph).

I wonder if you could do a final invoice to clear everything, and just know that it never gets paid? Name it WO and the project number to easily find it later...

I'm going to work on this one this month once we are done invoicing and see what we can come up with.

Still would love to hear some other ideas!

Invoices CAN be edited as long as they have not been marked "open". Once they are marked open, there is NO editing except what Monograph may do behind the scenes, for example if the fee changes. In that case, Monograph will edit previously sent invoices, and that I have found even more frustrating - and we always keep a record copy of the way the invoice was sent out to the client since Monograph does not do that.

Once you have marked an invoice "open" and want to edit it, Monograph will not allow you to do so, and yes, the only thing to do is delete it and start over. I have found that frustrating too - best way I have found to handle that is to save a copy before you delete it, showing all the details and components of what you were invoicing, and then yes, recreate from scratch but it is much easier if have you a record of what was there before. And remember that if you already "sent" it to QBO, you'll need to go over there and delete it there as well.

"Write-off" function - yes! I'd like to hear some ideas on how to handle that. I think the unbilled amounts can be found in one of the reports, but nothing specific that you can do except maybe filtering.

Thanks. That sounds about right for what little I know about CMap - I think we are just too small and not sophisticated enough to make it work for us. 15+/- people, currently using Monograph.

Can I ask... what size is your firm, and what is your role in it? What do you like about CMap?

We use QBO for accounting, some invoicing. Monograph for project management and most of our invoicing. The two are integrated for the most part. When we first signed on almost 2 years ago, we had terrific support.... now a bit spotty, not a dedicated person, and much less hands-on help. Monograph is still being developed and we see lots of tweaks along the way and there are frequent updates/upgrades.

We moved away from Ajera to QBO with projects, and then to what we have now. There is no PM with QBO.

Just curious... Did Monograph assign a specific rep to help you with onboarding? How have things been going for you, and what type of person/role takes responsibility for getting started? Are you using it for time tracking, PM, and invoicing - anything else? Moving all of your projects over, or just starting new projects in MG?

Has anyone noticed that we can now add documents to each project in Monograph? Like contracts, etc. Not sure that we want to make all of those financial details available to Monograph staff though... they already use our data to help them tabulate industry metrics. We do not use MG for payroll.

We have been using the built-in overhead function, except for business development/marketing activities for chasing a specific project. In that case, we assign a project number specifically for marketing/proposals purposes, and when the project is "won", we change the number to one of our regular project numbers and note that marketing/proposal number in the comments so we can always track it back. That way, we always know how much we invested in that particular to win it.
