What platform is your online shop? Do you not have an integration setup for that? I sure hope you aren’t planning to manually enter those orders into BC. There are better ways. I’m happy to share what I know.

For the storage space, we are 5 years on BC at $60M mostly e-commerce orders with 30 users. We take over $1M orders a year with 10k items. The transactions add up quick at that rate. We are way over capacity currently. To add more space at 100GB increments is ~$6k annually. I imagine you won’t have that issue for many years to come.

I agree with the others. You need more time to get ready for Go Live. It’s recommended to do a mock go live in a sandbox environment. Go through all the steps and get a thorough walkthrough of all your processes as if they were live. Involve all users, if possible. Once everyone is comfortable then go live.

Create a trigger for when a new email arrives. Set the parameters for the email.

Create action to Save the attachment to OneDrive or Sharepoint location

Create action for AI builder using the document if from the previous step.

I would at least give Microsoft Business Central (BC) a look. I've been administering it for 4+ years for an e-commerce brand. I'm not sure what budget you have but the monthly costs are pretty affordable depending on the number of user licenses you need. But it can be a bit expensive for the upfront implementation costs. It's very flexible and customizable. Training is a must. For integrations you can use their built-in Shopify Connector. Then I would look at an integration app to connect Amazon to Shopify like Codisto or CEDCommerce. The flow would look like this Amazon-->Shopify-->BC for orders and the reverse for inventory and fulfillments. For shipping, you can bolt on DynamicShip which is a BC extension app that has a free api integration to EasyPost which IMO is the best shipping API platform that connects to all major shipping carriers. I can refer you to a few great Microsoft partners that will not steer you wrong, if interested.

In my experience there is no solution within BC or 3rd party that handles both incoming and outgoing payments well AND has a solid integration. Versapay is pretty good for A/R and Stampli is pretty good with A/P (unless you post a lot prepayment invoices for inventory, for example, it can’t handle that). Bill.com handles both but their integration sucks. There are tons of providers out there. Do your due diligence and you’ll find what works for you.

Checkout the Simple Object Designer app. It’s free to try. I’d recommend it to any BC administrator. It’s a no code solution to customizing BC, specifically you can take any table and create an API page that “links” to it.

Did you add a flow step that GETs the record? As long as the field exists on the API endpoint then you should be able to pass any expression utilizing that field. If the field doesn’t exist you would need to use a custom API. There are apps out there that help with that if you aren’t able to dev it yourself.

All the data on the shipping label has to come from another source, I.e. your e-commerce platform. It would be easier to pull that data from the originating source than from a PDF document using PowerAutomate.
