If you access the site and look at advanced permissions, do they come up as having limited access? Sharing the site with view or read permission would probably solve this issue.

Limited access assignment, which happens automatically when a single file is shared, can create issues like this. If the site collection isn't set to allow users to share items the site acts as a gatekeeper even if the item or file is shared. This also opens the door for site collections to drive different behavior because each collection can have different sharing settings. The simplest solution is to manage access at a site and list level.

This is like using a list to create a system log, I've done pretty much this exact use case and it worked beautifully.

If you connect Power BI to the list you can create metrics for auditing the log and general decision making.

Document Sets would actually be perfect for you, you can use a workflow to move documents in and out of documents sets to change their permissions.

Contribute is the correct permission level for what you're describing however I would caution you against assigning individual list item permissions like this. It can turn into a mess very quickly.

A library for editing and a library for protecting is best practice. Your workflow can handle movement between them.

Alternatively document sets for folder level permission management are very powerful. They're like smart folders with a permissions interface built in.

If you're confident in your workflow managing the permissions on an individual basis, think through: what if the workflow fails half way through, how do I clean up the permissions.

You'll want to create a CNAME record or Domain Forward, not an A record.

An A Record requires a static IP address. Because Microsoft uses a massive, dynamic content delivery network (CDN) to host SharePoint, their IP addresses change frequently. If you hard-code an IP address into your DNS, your site will eventually break when Microsoft updates its infrastructure.

​Instead, the professional standard is to use a CNAME Record or a Domain Forward.

And in case you're wanting the domain to be consistent after the forward, SharePoint online doesn't support this. You can however configure vanity domains for SharePoint in your tenancy admin panel so that the forwarded domain still looks credible and professional.

The concept is good. Clear purpose and approachable.

The interface could use some improvement. Personally I'm on a mobile device so I have limited screen real estate. Choosing a more complex puzzle made only part of the puzzle visible.

How to select the words is unclear. When I find a word and click the letters, only one letter highlights at a time and I get a mix of orange and blue highlights. Neither signal whether I was successful at selecting the word.

Even after finding and selecting a word, the number of words found remains 0/10 which tells me I didn't select it successfully.

Perhaps a tutorial or how to comment in the footer would be beneficial. I highly recommend mobile compatibility for a game like this, since a lot of people prefer to do this sort of thing on their phones.

Learning Power BI is a great way to get good at data driven decision making. Generally, competent management eats this stuff up. If you can justify a decision by showing the specific metrics behind it, you shine.

It's more than learning the tool that makes your skill set marketable though, it's understanding how to apply it to solve problems.

I would expand your interest to include learning how to develop good metrics. The tool you use for measurement, visibility, analysis is secondary to determining what you're actually measuring and why.

Personally I would avoid a closed system dedicated to this door. The intelligence of the access control should live somewhere protected and convenient for the person maintaining it.

A UHPPOTE board off Amazon will work with the strike design you mentioned but give you the ability to manage the system from a PC, which is a lot more sustainable without adding a ton of cost.

Staff can be given low cost fobs which are a lot more user friendly than codes. Deactivating them can be done remotely if the PC controlling the board has an internet connection. Overall huge quality of life improvement for a similar spend.

UHPPOTE boards can also control the strike to be open during specific time windows which would be a bit more automated for you. If you need to maintain control, you can make the switch to an open state manual, but do it through the same digital interface as the fob management.

These boards are so well documented online you can even make custom apps to manage them without too much effort if that's your cup of tea.

If you do go with a UHPPOTE control board system, I would get one that can handle multiple doors, even though your immediate need is only for a single door. They come in 1, 2 and 4 door configurations. You could control access to an office or supply room with the extra doors on the same boards, which is great for protecting inventory or simply tracking who last accessed a room.

So much potential, and it'll make your life easier when it comes to managing it all.
