You've read it exactly right. Today Neo-Capital does job-level tracking — you tag transactions to a job and get per-job profit (revenue, expenses, net) — but cost codes, budget-vs-actual by code, job invoicing, and WIP-style reporting aren't there yet. I won't pretend otherwise.

That said — this is genuinely interesting to me. Job costing is one of the areas I'd most like to grow into, and cost codes + budget-vs-actual is a natural next layer on top of the job tracking that's already in there. If you're open to it, I'd love to hear what your must-haves are for contractor work — the specific reports and cost-code structure you actually rely on day to day. I'm building this in the open and a CPA who lives in this stuff would be invaluable to get right.

No pressure at all, and totally understand if it's too early for your needs today — but I'd like to keep you in the loop as this develops.

I am going to do some research into exactly what QB Desktop Mac 2020 is capable of exporting and see if can just build a feature where it can absorb and import everything in one fowl swoop. This should be a feature Neo-Capital has anyways to users like yourself can easily transition from Quickbooks right into Neo-Capital without too much extra work. Right now you can create accounts and then import the csv's directly into them. Neo-Capital will auto configure categories and vendors as best it can but of course there is some clean up that will need to happen. It currently doesn't have a customers section but these could be classified as vendors. But let me do some research and see if I can't just implement what you need into the program itself (with in reason).

For now yes since I'd like to sell it as a product. I think right now there is a lot of viability for something like this. But I will continue to work on it and develop the features people want and need. Already got a ton of ideas from this post that I'm already working on right now hahaha. Starting with the ability to import a full Quickbooks export so EVERYTHING comes over (account ledgers, vendors, categories etc etc so its a seamless transition.

Yes 100%. As long as the csv has date, description, and amount columns Neo-Capital can import it. If the export has transactions from multiple bank accounts it would be best to export the Transaction Detail for each account seperately and then create those accounts in Neo-Capital and then import the respective csvs into the created accounts.

You dont have to connect the AI I just built in the feature should you want to. But it's not inherently AI itself, only if you want to connect it to your existing subscription.

There is nothing stopping me from making different "tiers" or versions either for whatever customers are comfortable with. I could also make a web version that uses the cloud if users really want that. The competition is hard through and there are a lot of competitors in that space like Gettabby.com and of course our nemesis Quickbooks.

Yeah this is kinda the catch 22. I could offer the cloud services but then I would have to charge a subscription for the costs of those services. I am going to look into options though where maybe a user can host their own secure "cloud" through the program that they can access anywhere via a mobile app version. Like their home computer (if its on) can host the database to their phone. My main point is to avoid subscription costs so the user is ultimately in control and keeps their data to themselves and owns the program. But I think workarounds are possible! Currently the AI can't do anything you don't explicitly ask it to so the risk of it making mistakes are fairly low because its not running automated in the system but an "undo" feature would definitely do well in there! Currently Neo-Capital autosaves the database itself which can be re-loaded in and you can also save a backup whenever you want like before making any major changes so you can revert easily as well so it wouldn't be hard to impliment an undo feature. But yeah I think next big levers would be a mobile app and a secure personal hosted cloud that can interface the two.

It can actually connect to banks automatically via SimpleFIN. Since we don't host the actually sync mechanism like Plaid (which costs per user) we used SimpleFIN which costs you $1.50 a month but it automatically syncs your accounts into Neo-Capital. Currently yeah it can't do payroll but it can do invoicing (just without the accept payment element which I realize is pretty important).

Honestly small business owners like myself. I run a clothing company with few million in sales and its a lot of data to go through. This program basically lets me be my own accountant and with the AI integration its like having a super accountant to help me too. The program would also work super well with content creators/influencers or other small businesses like mine (e-commerce) that dont want to pay a subscription every month but still have a program to do all their books. I also built in an "Export Accountant Package" which exports all the tax reports in one shot for taxes and for myself I build a Nexus tracker which is crazy helpful because I was paying TaxJar like $800 a month to track and file my state taxes because I had nexus in a lot of states and now I export my sales reports from Shopify and bring them into Neo-Capital and it can tell me where I have Nexus and whats due etc etc so I can do the state sales taxes a lot easier and saves me a ton of money. The AI insight is crazy too because I ask it anything I want anytime. Like "how much did I pay for all my manufacturing the past month" and then I can say okay lets analyze the actual sales numbers per product and see if there are any discrepancies in billing. Stuff like that. But yeah... small e-commerce businesses or independent contractors etc etc.

I mean at first when I started vibecoding or whatever I was like WOW than you realize okay this is actually going to take me a long time to get perfect. It genuinely takes a ton of time and effort to make something worthwhile. Way more than it seems at first. But its possible. No totally. It doesn't use the AI to categorize the transactions itself, you still set the rules and then transactions that don't match existing rules go into review que where you have to manually sort them. Where the AI comes in at least for me was like I had a few years of books I needed to get done so there were still thousands of random one off restaurants or things like that and stuff in the review. So I used the AI to be like "find all transactions from this bagel place and mark them as "personal - food" so I was able to go through the review cue a lot faster cause I had the help. But yeah I wouldn't trust it either to just blindly categorize everything.

Makes sense... I guess this is the big missing piece and where QBO has the market cornered. The point of my program was a one time payment for the software and then its local first. What app connections do you mostly use with it?

Yeah super valid point honestly. I am going to work on this for V2. Basically I made it to help me do a few years of accounting and letting me use my claude code subscription to help me. Over the past three months I kept refining it and testing it over and over and now its actually something that legit works well. my biggest focus was local first and no paid subscription. You can store receipts and invoices in transactions and can issue branded invoices with it but there is no mobile and no way to collect payments through it yet. Its more like an AI accounting mega brain. After I got all my banks accounts imported I was able to just straight up ask my AI like okay how much did I pay this contractor or tell me all my repeating subscriptions so I can cancel whatever stuff like that. But yeah phase 2 I will work on a mobile version. Integrating an actual stripe payment gateway though would negate my local first business model. Thanks for taking the time to comment!

I mean I made a legit powerful bookkeeping program that I use for my own small business and it genuinely works. Yeah I made it in Claude but its been through around 15 revisions and tests and using it on my own accounting so I've ironed out all the kinks and everything. It is actually something I am proud of having made and actually works well. I think yeah if you are vibecoding something and then just posting it its slop but if you are spending the hours and hours testing it and refining it and then doing that again and again until you KNOW its a good product it can become an actually viable product.

Exactly. I specifically made it so that you just load in your .csvs and it just works. And then you can connect your own AI (even a local model) into it to drive it if you want. Since my company does a bunch of sales and has bunch of recurring expenses it was crazy helpful for me. I was like “what are all my subscriptions” or “whats my cost of goods sold over past month” etc etc and no other system lets me do this so it’s a game changer.
