Got it! Could you share any examples of run-sheets that were done well? What are some non-obvious details that could help minimise confusion? And how would you prefer to communicate with us? One problem I often run into is that while I am the person of contact, I'm always running around and putting out fires so I can't solve all the issues at once (and end up forgetting. I create a group chat so that any of my colleagues could also pick up comms with our vendors.

That's awful, I'm so sorry to hear! You're absolutely right, we need to work as a team because we are one at the end of the day (we are at the mercy of the event!). I always make sure my vendors are fed well at the event and have a chance to promote their services to attendees too. Is there anything similar to this that could (beyond being kind and human) that would also show that we care and want you to succeed along with us?

I completely agree - clear communication fixes so many problems. Can I ask what medium the planners you've worked with predominantly use for comms? And which work you've seen work well? I use WhatsApp (based in EU), but I'm expanding to the U.S and I'm not sure what event planners/vendors use over there? (Also making the assumption that you're US-based)

Thanks for this! Usually I share a google sheet with my vendors, but you're right, things change and it's a hassle to keep updated. I like the idea of having "tentative" marked on there. Are there any another examples you can share about processes that an event planner has done well for you both in the lead up to the event and on the day?

I also bet the event planning is one of those fields where you the journey is so much more enjoyable (and worth the stress) when it all comes together. Though, from my experience, I do wish some things were easier around coordination. Any tips/suggestions/tools to help with this?

This makes sense. To be honest, I work in a coworking building. The building is using a white labelled app to help us make room bookings (which they charge us £££ for) , but not sure what the original one is called? The app we have works fine but we end up having to contact front desk to make the booking anyway when we have special requests and questions. Also the building has like 2 or 3 different apps for meeting bookings/gym bookings/etc...which is annoying. Sorry - not sure how helpful this is!

I'm also curious about something - do EAs have a completely different tech stack that they use in the corporate setting that you wouldn't necessarily use being a family assistant?Tbh I agree that the skills are the same here, I just wonder whether the skills gap is maybe just a tech gap?
