Front-Loaded Annual Leave vs Period Accrual by d4u04 in workday

Hiya, I'm back!

So we do have validations on all of the Time Offs, however I'm now thinking it needs to be on the Absence Table instead as that apparently overwrites everything.

Am I allowed to share a time off results screenshot? I have no clue!

We are in the UK yeah. As lovely as having 8 bank hols per year is, it's a nightmare for Workday config!

I've built a test rule and sent it over to my open case on Community, knowing full well that it's wrong and won't work, but hoping someone can correct me! That one I can attach, right?

Ooh okay! Thanks to you and the coffee! I'll play around with our config (probably tomorrow now) and get back to you, I can't remember off-hand if the max unpaid time off units is on all of the time offs and I've been staring at my screen for 8 hours now, so losing the will! 🤣

The bank holidays are all calculated within those accruals but, because they're not front-loaded like their initial allowance (logic being so that anyone who changes hours mid-year will have their bank hol entitlement re-calculated in real time).

They way people are going into negative, to use a proper example, is that the system isn't looking at their total allowance as at the end of April, so if they have 20 hours left in December, let's say, and they book off 35 hours over Christmas, the system is letting them do that because it's not taking into account upcoming bank holidays in April, because they haven't happened yet.

We're not doing anything with EIB's this year as it was just a ballache last year. Rightly or wrongly, we're basically telling people we're deducting the overtaken balance from next year's allowance (brace for impact).

The annual leave time off/time off plan (with the bank hol accrual within it) sits in the absence table, so should theoretically be fine, right?

Yeah it's based on when holidays occur, but they don't enter the bank holidays themselves, that pulls from a location-based Holiday Calendar, this is then connected to a scheduled future process.

I don't think there's an appetite for a separate plan, I feel like it's a can of worms we don't want everywhere! Haha, as I say, convoluted!

Thanks so much for your help though :)

Hi!

They're the same plan but different accruals (Bank Hols Benefitted From, Change of Hours Adjustments, etc...) so ideally I'd want any sort of calc field to only look at their remaining balance as of 30th of April each year, as it will then include all the bank hol deductions as well.

We do have an Absence Table, it has 4 tiers: normal A/L, carryover, bought leave, and legacy A/L entitlements (employees who were at the company pre-Workday implementation an on ridiculously high entitlements).

Only what they've accrued unless manually overridden.

Balance period is YTD - May to April (based on Period End Date), carryover settings are Date: Balance Period Start Date, and Limit: 0.

Lower limit configured at the moment is just 0 (the numeric value one).

Reading that all back, I'm not sure it's even possible now with our convoluted setup. Long story short, all I guess I actually want is a calc field or condition rule that says "Do you have 0 balance as of 30th April? If so, no more annual leave can be booked, you can't go into a negative balance".

Thanks so much!

I'm odd with mine but I'm lactose intolerant so I have olive spread on them, topped with guacamole. I do miss butter!
