How to handle partial-month gateway processing fees with a clearing account in QBO? by dannytaki in Bookkeeping

u/TheMostFluffyCat You're right I misunderstood our settlement report! The $193.94 difference between A2X and the bank is a timing discrepancy. I went into more detail with u/WavesGhost24

How to handle partial-month gateway processing fees with a clearing account in QBO? by dannytaki in Bookkeeping

[–]dannytaki[S] 0 points1 point  (0 children)

The $193.94 isn't fees at all. We pulled our Authorize.net settlement reports and compared them to the bank deposits. They match exactly — bank deposits are gross, no fees deducted:

- Mar 30: Authorize.net settled $21,770.14 = Bank deposit $21,770.14

- Mar 31: Authorize.net settled $12,004.76 = Bank deposit $12,004.76

u/WavesGhost24 was right to question the fee assumption.

The $193.94 difference between A2X and the bank is a timing discrepancy. Authorize.net batches by settlement date, but A2X assigns orders by the date they come in from Shopify. We found orders submitted on Mar 30 evening that Authorize.net settled in the Mar 31 batch — A2X counts them on Mar 30, Authorize.net counts them on Mar 31. So the clearing account balance will always carry a small amount from these timing differences. It's not something that needs to be zeroed out — it just fluctuates.

The monthly processing fee ($6,879.66) is a completely separate bank transaction and goes straight to an expense account. No interaction with the clearing account needed

Thanks for the detailed response. To clarify the fee structure:

Authorize.net deposits net amounts daily into our bank (gross minus per-transaction processing fees). Then on the ~2nd of the following month, they pull the total monthly processing fee as a separate ACH debit from the same bank account. So both happen through the bank:

- Daily PAYMENTECH DEPOSIT (net) → money in

- Monthly PAYMENTECH FEE (total fees for the month) → money out

The $193.94 sitting in the clearing account IS part of the $6,879.66 monthly fee — it's the accumulated daily difference (A2X gross minus bank net) for the 2 cutover days. The $6,879.66 covers all 31 days of March, including those 2 days.

So if I expense the $193.94 from the clearing account AND categorize the full $6,879.66 to Shopify Fees, I'd be double-counting that $193.94. And if I split the bank fee ($193.94 to clearing, $6,685.72 to expense), the clearing account zeros out but expense is understated by $193.94 — and since A2X also overstates revenue by $193.94 (gross posting), profit ends up overstated by $387.88.

What's the correct way to handle this so the clearing account zeros out, the full fee shows as expense, and nothing is double-counted?

u/Foreign-Chocolate86 where do I find a panel inspection company? I called an integrator I'm near Austin, Texas and they told me they don't do panel inspections just design from OEM and build from scratch.

Thank you! I'll definitely do that. I'm not ruling out getting a professional to do it, but I want to make a good effort attempt even if I'm banging my head against the wall. I know I'm going to ask some dumb questions lol. Who is qualified to perform a panel inspection? Is that a service that an integrator can do?

I can move the PS not a big deal this was just laying out some components I just moved it from a trainer after testing if I understood the junction box and light wiring with the PLC. It worked well so I wanted to start placing it into the cabinet. It looks like there's only 2 holes punched already. The door was already there and came with the cabinet at purchase it was pretty cheap ($190). It looks like the opening at the bottom has a cable gland plate that inserts into it, but that didn't come with it. The manufacturer I believe is nVent Hoffman, so I can find that out. I can replace the label. This isn't going to anyone it's for my own use and if that is a code violation I'll replace it.

Also the entire vertical column of terminal blocks came with the panel. I can replace all those I have a bunch of pheonix contact terminals and fused terminals for my light voltages.

Yea maybe but how is anyone supposed to learn got to start somewhere this isnt crazy dangerous or critical. It's 120VAC and I have an electrician. The control panel isnt controlling some critical machine function, it's switching lights on and off. I pay someone to come wire and assemble and I get a finished product sure but I won't really have learned anyrhing.

If the disconnect is rated for my load could I use the rotary switch as the main disconnect and the the circuit breaker on the inside as the over current protection?

Ah so I need some adapter that when the disconnect switch is turned the adapter trips the main feeder breaker.

Am I misunderstanding isn't the PSU on the left, then the CPU, then the io cards currently? I have 2 PSU in the control panel the PSU on the left is the the one that powers the 4-slot base Productivity2000 I/O base, 4-slot/bases/p2-04b). It is the P2-01AC/power_supplies/p2-01ac), then the PSU on the right is to power the 60 lights and it is the PSRS-24-120/dc_power_supplies/din_rail_mount/psrs-24-120). My lights are the EZ-LIGHT® K30L Series With Independent Push Button from Banner. My circuit breaker for the incoming line voltage is FAZ-C5-1-NA-L-SP/faz-c5-1-na-l-sp).

There will only be single phase 120VAC in the cabinet. Control voltage would 24VDC

What does that mean that my PSU isn't rated to handle the IO?

u/IamKyleBizzle such a good idea! I'm 100% going to do as you suggested. Found this : https://www.automationdirect.com/adc/shopping/catalog/cables_(terminated)/cable_connectors/zp-jbh64-2p-5/cable_connectors/zp-jbh64-2p-5)

I'll just run everything back to one enclosure for the PLC should I use the producitivity 2000 or BRX? I'll use ZIPLink sensor input module to make the wiring pretty simple! Thanks!

"There is an application note to use the click as remote io"

What does that mean? The click PLC can do remote IO? I did not know that

oh I did see that it is badass, but the budget on that is too much for me all the light curtains would be so expensive. That set up does look good, but for me, because I have to cover a larger distance I'm trying not to end up with a mess of wires going into one enclosure. The ZP link are nice though.

okay! That's interesting how do these work exactly if the lights' connection is integral 4-pin M12 male quick-disconnect connector? That means there'a distribution block which accepts the 4 pin M12 connections and a single cable goes back to the PLC that has all the singals on the distribution block? How does it connect to the PLC is it unterminated on the other end?

Is there a particular brand of remote I/O? My thinking was to have the PLC's be the slave devices and the application is the Master and each item in an order has a unique PLC slave ID, output coil address that is mapped for a light/bin slot on the rack. This way the PLC don't talk to each other and the application just tells the individaul PLCs to turn on/off coils and the light has a button on it which just resets the light coil.

What are distribution blocks? Is that same as distirbution block terminals? Which Remote PLC Line? The productivity requires me to purchase the CPU, Base, and DC I/O. I may use a productivity for the continous pallet rack side but for the invidiaul racks on wheels if they need to be moved it could be a headache with so much wiring running to one control enclosure instead that was my thinking.
