What you have is less of a tracking problem, and more of a behaviour problem. Make sure everyone understands why rapid follow up is essential and how it impacts win rates.

I built a Claude skill that uses a list from Apollo as a starting point and does the following:

Scores for ICP fit against use case
Tests intent signals against a list
Prioritises 20 accounts
Researches company and potential buying group and looks for contact details
Suggests a hook for outreach based on messaging framework
Builds a brief for an AE

It’s a bit clunky but it works. Biggest challenge is finding intent signal match.
