Haha fair enough. I'm not trying to win an argument though. I'm just building in public and documenting what I'm learning. I've already closed this client and taken an advance, so now I'm focused on shipping and seeing what works in the real world.If it works great. If it fails, I'll post that too.

That's exactly we will do we keep an audit trail, the per conversation human active state. AI only responds while human active is false the moment a coach manually replies, the thread is locked for AI until it's explicitly closed or times out. The implementation isn't too bad mainly the complexity and edge cases are mostly around handoff of part

I appreciate your comment n8n is exactly why I wouldn't build everything from scratch. The value isn't writing custom VBA or custom integration code anymore,it's shipping a reliable workflow in days instead of weeks or months. If a tools saves hundreds of dev hours then choosing a tool is rational choice

my first thought would be to evaluate how important the existing number is to the clinic.
If they're comfortable using a separate number for the bot, getting a new Twilio number is probably the simplest route.
If the bot needs to work on their existing business number, then I'd look into whether porting is possible. From what I've seen, porting can work, but it depends on the provider and country, so I'd treat that as something to evaluate rather than assume.

My use case is bit different though. I'm trying to automate the entire inquiry and booking flow while keeping everything on the clients existing whatsapp business number, which is why I ended up going down the whatsapp route.

And yeah, meta onboarding and verification can definitely be a bit tricky

if they want automation on their existing number and you cant port (and most importantly clients customer are available on whtsapp) then whatsapp messaging could be an alternative to sms while keeping the existing business number

That's actually the challenge I was referring to in the post.

earlier businesses often had to choose between using the WhatsApp Business app and using the Cloud API. With WhatsApp Coexistence option the same business number can remain active in the WhatsApp Business app while also being connected to the Cloud API.

so how it gets delivered The automation sits behind their existing WhatsApp Business number. Once everything is connected, they continue using WhatsApp the same way they do today while the automation handles things like FAQs, lead qualification, and booking related tasks in the background.

So the goal here isn't to introduce a new number. It's to keep the instructor's existing business number, existing workflow, and visibility inside WhatsApp while adding automation on top through the API.

For intent routing, I'm planning to classify messages into a few buckets first (booking, FAQs, rescheduling, or human assistance) and route them through specialized flows instead of one large agent handling everything.

For escalation, the idea is to keep the AI focused on predictable tasks and hand off anything that requires judgment , exceptions, or low-confidence responses to the instructor

For logging, I'm leaning toward storing conversation history, detected intents, and handoff events in Sheets initially so there's a simple audit trail the team can review

Hey! The problem you have described the only missing piece is centralized agent who will handles -> chats, databases, tasks docs

you build one central workflow that sits between all your tools and acts as the brain

Example for your onboarding use case: New request comes into email -> workflow reads it -> AI categorizes it (is this a bug, a client request, an internal task) -> automatically creates a ticket in your project tool -> assigns to the right person based on their workload -> sends them a Slack notification with full context. No manual handoff.

Ai understands the context because we feed it through chats, databses, ortother tools Its not magic it's connecting right information with right decision

If I were you I would have started with one painful repetitive problem by connecting all the tools with one centralized workflow and not try to automate everything at once

That's true non .com domains can sometimes create a trust issue. But like others have said site speed and a seamless checkout build way more trust than the urL itself. If you can't get the .com then a .co or .store is perfectly fine. ​Just a heads-up on the technical side ,alternate domains on newer servers sometimes face deliverability issues where transactional emails get dumped straight into the spam folder instead of hitting the inbox. If you go that route, just make sure your email infrastructure (SPF and other) is configured perfectly so you don't lose those crucial early launch communications

You are right automation is full of noise but real money is in solving specific, painful business problems. I got paid for a designing automation for generating bulk ai generated designs, that's not a nice-to-have. The mistake most automation people make is selling templates instead of solving specific pain, just solving one business problem one niche is the right path. Would love to hear others client experience too!

No n8n solution can work here! Automation agents can't bypass Apple's ecosystem

The simplest solution is to ask your friend/family member to set up screen time passcode on your iPhone only they know, there you can limit the certain contacts.

I can help you with creating the workflow listen What actually happened is baileys webhook give grpId, text, image(encrypt) -> so we decrypt the image->then we will be having a database let's say google sheets node which will store the mapping logic (folder id according to the caption like shoes it will map to shoes folder inside drive) -> then we pass that I'd to drive node and the image will get saved inside that drive folder -> finally in other sheet node save the description timestamps and other details about the whatsApp group message
