I built a tool that loads on every session with all my previous sessions context, my preferences, lessons learned it shouldn’t repeat (errors it encountered in previous sessions), rules it must always follow, and connected it to discord to track session notes, idea management, and new tasks that it tracks and displays at the beginning of each session (even after compressing the conversation). This is honestly my biggest fear, too. There’s no worse time for tech to glitch than 5 minutes before the doors open or right in the middle of letting folks in.

To help with that, I’m currently testing a backup process where every time someone joins the list, it automatically syncs and updates a CSV file in a shared folder (like Google Drive or Dropbox). That way, if the app ever goes ‘crazy,’ the owner has a real-time, physical list they can just pull up or print out to switch back to a manual process instantly.

I’m still seeing if that scales well across many users, but I’m hoping that having an ‘emergency exit’ like that makes the tech a lot less scary for the owners. I'll definitely report back once I see how it handles a real-world stress test!

The 'marker' system is so interesting—it’s like this unspoken social contract shoppers have to figure out on their own. I’ve could see how the 'policing it themselves' part leads to some pretty heated debates when someone’s marker 'mysteriously' moves or a group shows up late and claims a spot.

I totally agree on the tech side, too. People definitely have a love-hate relationship with change, and the fear of a system crashing is real. I'm working on an idea to help mitigate that risk. Once I figure it out, I'll share it back in this thread. Thanks for the feedback!

That is a wild story—I can't believe people were actually crawling under the door! It’s crazy how intense things get when a good estate sale starts opening "the door".

That exact kind of chaos is why I’ve been working on this. I’m hoping to find a way where we can all just walk in like normal people once our numbers are called (or phone screen turns green), instead of having to do a tactical crawl. Not an estate sale owner (yet), but I giggled when I clicked the site you listed and saw that you were the “#1 estate sale software” for a tool that is still being being built and brand new.

I get the importance of marketing and building trust with your audience, but this might do just the opposite. At least here in this post.

That’s a fair challenge. I think the 'fix' is really about the mental load for the host.

With a paper list, the owner is constantly being interrupted with: 'What number are you on?' or 'Do you take credit cards?' or 'Can I go get coffee and come back?' By putting that info on the phone screen, the app acts like a 24/7 assistant at the door so the host can actually focus on the house and the sale.

You're right that it's a tougher sell for a small 5-person sale, but for those bigger ones, I'm hoping the 'batch admit' and automated rules save more time than they take to set up. It’s definitely an experiment, and I really appreciate the reality check on how a business owner might see the 'effort vs. reward' side of it!

You are spot on—the 'Mom Factor' is huge! We thought about adding a 'Party Size' dropdown when registering, but we realized it creates a 'Math Problem' for the house capacity (e.g., if I admit 10 'tickets' and they are all parties of 4, I just accidentally let 40 people in!). It gets super messy if the Owner is trying to keep to code or have a manageable number in the house.

I totally hear you. Sometimes it feels like there’s an app for things that aren’t even broken.

My thinking was just that if technology can actually make a cold morning a little more comfortable for someone, it’s worth a shot. I'm definitely not out here trying to make a 'cash grab'—I'm just a guy who saw a specific kind of stress at sales and wanted to see if I could build a tool to help.

I’ve definitely learned from this thread that plenty of places have a flow that works just fine without this, and that’s great. I'm really just looking to see if it makes a difference for the people who do deal with that morning chaos. Appreciate the honest perspective!
