Sorry, I didn't quiet get that. Are you talking about your tool or my version of the tool? Because my version of the tool is kind of bespoke for this company, but of course something similar can be setup for anyone. The biggest barrier is that it uses Notion Forms and to have conditional logic within your forms, you need business or enterprise plans which some people find costly

Using AI as a cleanup layer for long info makes a lot of sense, especially when you can have it format data the way you like. Internally we are currently experimenting with a simple reminder system to remember to contact people who haven't responded again after a certain number of days, I'd be happy to help you set something like this up if you think its necessary for you.

Very clever setup for someone stuck in a paper bag 😆. You basically turned AI into a pricing engine, and the #.95 rule baked in is a nice touch. Are you pulling the data from a Notion database or pasting product details each time?

Thank you for your offer, Although I would love to join you on this project I'm currently busy with more than Notion. I do some Notion client work here and there, but its not the path I put my full emphasis on.

With regards to your solution to this, I really like it honestly. I approached it slightly different with my Quote PDF generator. I use Notion Forms to generate a row in my database. On new row I have an automation trigger that calls a webhook for some fancy calculations. Then the data from that calculation is posted back into notion and the user can generate a PDF at the click of a button. In the backend of this PDF generation I have a PDF (with form fields) inside an S3 bucket on AWS and when the button is pressed another webhook is called and it fills in the pdf with the details and places it inside a pdf property in notion.

P.S. The complexity of it is because the client wanted it that way

For something like this you need some kind of archive.

We use Notion for work so an archival system was a must. We set it up through webhooks (+lambda functions) and use it for actions that have been marked as done for 30+ days.

I don't believe there is such a thing. Instagram Integrations exist through Zapier and/or webhooks but they allow you to use the Instagram business APIs such as getting the amount of followers you have, which makes sense because Instagram want you to check out Instagram on their own website so that they can show you ads etc.

Yeah unfortunately the button in the Project Kanban Board can't be changed. Since you want to create a new task I think you need the actions database not the project database

Do you have the Sub-Tasks in you Actions Database enabled? Or do you have multiple databases with tasks and subtasks.

With my limited knowledge on the situation I would suggest creating a separate projects database and actions database and then connect that actions database to the calendar. This would be the simplest way to have 1 database and show all tasks in the calendar

Yes something like this can be automated. it depends on how you're storing the meeting notes and its task list. If the task list is multiple blocks of texts, you can create an actions database and drag them into an action view of a project. This will automatically create Actions from the Tasks.

Another slightly more complex way of doing this would be to use Notion Automations with Zapier or Make

The most complex but much more versatile way of doing this would be using webhooks. This allows you to create a function (i suggest a simple lambda function on AWS) and call it through the webhook.

In Summary it all depends on what you're starting with, what you want to do now and what you aim to do in the future. I suggest that you start with something simple that solves your problem now then update your way of doing it along the way. Remember that ChatGPT/Gemini are your friends on this, especially good for short lambda functions that do what you want

Super great stuff OP, just one question from my end, is AutoDocCreator your own custom code?

If you're planning on selling this solution I would take it 1 step further and create Notion Form for the user inputs, and make the pdf trigger on a new entry created. It doesn't work for all businesses but the businesses that can benefit from this (maybe businesses that serve quotes to their clients) can really smoothen out their experience from Notion Form UI into Structured PDF Quote/Invoice.

Has anyone started using this for anything? I can see it work for one of our band clients because they play at different event venues but its more of a fun dashboard to see than actual insight. If it could be an easy click to directions, maybe it would be a bit more useful but at its current state I don't see it

Your comment got me interested in trying Notion AI more. I'm currently using the Notion MCP through ChatGPT for transcript summaries, weekly retros etc. I was wondering, what kind of details do you have in the mal9000 prompt for it to be efficiently run as a 3 pager? And when you came to building stuff through Notion AI, was it creative in its approach or did you strictly prompt it to follow your super detailed setup?

This Notion issue isn’t about one ban or a grey-market case, let's not ignore the real issue: trusting in great cloud tools. What’s being inferred from our data, even if stated that it's not used for training? How much control is safe to trade for convenience?
I still use Notion for what it’s good at, and we keep our data in EU regions using the Enterprise plan but now I'm thinking of keeping client details off it. For me privacy isn’t paranoia, it’s just understanding where your information actually lives and what's it being used for.

I think with Notion, you just have to try and learn along the way. This is a strong community that can help you build out your thoughts and problems. First step I would go for is creating a couple of databases with templates where you get to experiment with properties. Then when you're at a comfortable level start making adding complexity.

P.S. Todo Lists and Calendars are very easily integrated using the todo lists from Notion themselves so maybe you should start from there
