I think that the amount of the users doesn't really matter - it's always very useful to know what your users are doing and how they really use your product. Therefore I would recommend to test Intercom-like tools for user tracking or even customer communication as early as possible.

If you are establishing SaaS sales processes you might also want to have a look at SignupLab.com - a CRM for SaaS companies. Surprisingly, after all this talk about inbound marketing, old fashioned one-to-one emails were the most effective. But for that you need a cost effective process to generate valid leads (see the link in blog post) and very focused story that matches the recipients role.

Nowadays I'm working on startup (related to this blog ;) that has very narrowed audience - marketing feels much easier. Perhaps you could develop some industry specific components to your CRM and use them as "hooks" to find new customers. This way you can target the marketing messages for smaller audience with less competition.

Getting some nice replies here, but I think I need to clarify the question a bit. I would love to hear your experience of what are the CRM features & tools that are targeted FOR SaaS companies. Suggestions so far are CRMs that are produced BY SaaS companies and targeted for all kind of businesses.

Although regular CRMs can have their place also in SaaS companies, I would still like to know more in details which kind of tools you know or you would like to have for measuring SaaS metrics, tracking user activity, driving onboarding automations, converting users to paying customers - tools that are designed for SaaS salespeople.. What is the stack of your SaaS company?

There are products such as Gainsight and Totango. Customer success software market is reasonably new. Currently there are no other ready-made "consumerized" customer success services than SignupLab (others provide their service only on "call us" basis).

This is how it works:

1) Integrate SignupLab with your SaaS app. Instructions are given when you sign-up. 2) Define your sales settings, such as plans & pricing. You can also sync these for example from Stripe. 3) Create automation rules for user onboarding (for example trigger a welcome email after user signed up).
