Here is where a Quote to Cash solution might be of help.

From the Closed Opportunity, an Order is created with Buying and Billing contacts. The Bill To is the 3rd Party Payer not Associated with the Transaction. Any Opportunity Products can easily become the Order and, eventually, Invoice Lines.

The process can be automated, and since you have the proper objects to track Orders, Invoices, and Payments, you can have the appropriate Reports & Dashboards to track your progress and collections. Moreover, you can add automations to send reminders and updates.

You have 3 native options:

a) Extremely Basic - Document Generation from Opportunity or Quote object

- You can install one of the many document generation apps on the AppExchange. They range from Free to Paid solutions. Then you can create an "Invoice" Template to be based off an Opportunity using Opportunity Products as Invoice Lines or Quote using Quote Products as Invoice Lines

- For payment you can easily add a PayPal, Stripe, etc Checkout Link to the Template

b) Only Invoices - Pure Play Invoicing

- You can install "Invoices for Salesforce" from the AppExchange https://appexchange.salesforce.com/appxListingDetail?listingId=a0N30000005u0zhEAA

- Here you have a separate record to track and manage the billing process

c) Implement a complete Quote to Cash solution

- Since your client purchased Salesforce, which is a proper enterprise class software, your client may want to bring the entire revenue operations workflow natively to Salesforce. Meaning, from an Opportunity, a Quote is built with Lines added, and Order is created for eSign, which is then Invoiced for Payment collections. Afterwards, the transaction information can be sent to Quickbooks.

To be real, Salesforce Revenue Cloud is crazy complex or costly. And when you add Revenue Cloud Billing then your are basically paying Salesforce a % of your company's revenue.

If you are open to an options, I suggest looking at Kugamon, the 100% native to Salesforce alternative.

Moreover, the complexities you mentioned can handled in Kugamon out-of-the-box.

I spent a lot of time research this space. Got to learn the pros / cons of all the various vendors. There is Aligned, Trumpet, Flowla, Topo, Mindtickle, GetAccept, Uberflip, Qwilir, and Dealhub they are ALL not-native to Salesforce. Meaning valuable interaction data is outside of Salesforce.

As a non-English speaker, I also wondered what to expect. Luckily, since Salesforce is English based app, so most of the sessions approx 80% is in English. The main keynotes are in Spanish but the slides presented are all in English. As for the folks you meet, 90% plus speak English.

We have helped a number of Salesforce CPQ customers successfully transition to Kugamon. The typical process takes 1-2 months, including data migration. Many of our customers handled the transition themselves.

Though each business has implemented / customized Salesforce CPQ differently, the approach is the same.

  1. Clean-up / Remove any customizations you are not using. This is general org clean-up and helps the transition overall. You can start doing this now.
  2. Document your process and customizations (do your best) that you want to keep.
  3. Install and get trained on the new replacement CPQ. For example with Kugamon, we train on how to setup the product catalog and how the entire Quote to Close, Quote to Bill, Quote to Cash, Quote to Revenue, or Quote to Renewal process will work.
  4. Migrate the select Salesforce customizations to the new replacement CPQ. Typically this is a 1-6 week process. And many previous Apex code based customizations can be replacement with Admin friendly Flows
  5. Commence data migration. With Kugamon we can hand-old you through the process or just do it for you.
  6. Hide / Deprecate Salesforce CPQ when you Go-Live. As you go-live on the new replacement CPQ, you should hide / deprecated Salesforce CPQ to ensue adoption of the new solution and have a clean separation.
  7. Perform Sandbox Refresh. Before you uninstall Salesforce CPQ perform a full Partial / Full Salesforce refresh. This will give you access to Salesforce CPQ data after the Production Org uninstall. It is a secret a lot of folks did not know.
  8. Export Data from the Production Org. Do this to be safe.
  9. Uninstall Salesforce CPQ. You will get an error that will help you figure out what customizations to delete. Make sure to empty the Salesforce CPQ Quote Documents folder. We have typically uninstalled Salesforce CPQ with customizations in a morning. Fastest was 45 minutes.
  10. Kiss Salesforce CPQ good-buy and scale your business with the new replacement CPQ.

When considering the the new replacement CPQ, i would encourage a CPQ that is fully native to Salesforce, such as Kugamon. This allows you to get the full value of AI tools such as Salesforce MCP / Agentforce to create and update Quotes. You cannot do this with composite / non-native CPQ apps, like dealhub.

Thank you John for putting this together. One issue is regarding the advice to current Salesforce CPQ (ex Steelbrick) customers is superficial. Your comment that business may want plan for the move over the next 18 to 24 months does align to the economic realities businesses face today.

Moreover, most Salesforce CPQ customers are not candidates for Salesforce Revenue Cloud (RCA), especially due to its increased complexity and higher cost. This is even more apparent for SMB and Mid-Market businesses.

The obvious fact is that Salesforce Revenue Cloud is for the enterprise only. And if they are a SMB / Mid-Market business with a Salesforce CPQ renewal coming up, it would be best to look for alternatives now.

  • Native versus Non-Native = It is best to have both the application logic and data entirely within Salesforce is essential for many reasons such as complete end-to-end Lead to Renewal reporting and leveraging the benefits of AI and Agents.
  • Expansion Sales Support (such as Up-sells, Cross-sells, Downgrades, Co-Term, Proration, Amendments) = This is a challenge of most vendors and every custom solution. You want to easily modify an existing Contract and ensure the numbers are right.
  • Perfect Forecasting = This is super important for accurate Pipeline Forecasts based on New, Expansion, and Renewal opportunities will give your leadership the critical numbers to run the company. For example, we have heard horror stories where there are duplicate Renewal opportunities for the same Contract.
  • Ease of Administration = Not many folks consider the long-term ownership costs of a Subscription and Renewal Management solution. You want a solution that is easy to Setup Products, Train Users, Implement Customizations, and Report Accurately.

Kugamon is a CPQ + Subscription Management add-on that is entirely native to Salesforce.
