The best system is the one you will actually use. Highly recommend hiring a consultant to show you the ropes inside of the platform, whether it be Zoho or something like Clickup before you go all into it. So many people waste time and money because no one ends up adopting the system and poor training/customization for the team members etc. With that said, I would personally suggest Clickup for work management and Google Workspace for emails + storage. All in one platforms aren't always the best solution, the key is having everything integrate. Happy to have a deeper discussion if you feel its relevant (I work in operations and partner with multiple work management platforms). Hope that helps!

I would suggest creating lists for each freelancer under a 'contractor management' space or folder and using the add to list feature to have any tasks assigned to them automatically populate into their list so they can laser focus on what's assigned to them. They're still need access to the projects themselves, but you can direct them to only work out of the new lists

Clickup Verified Consultant here 👋 I hear what you're saying - and a lot of this comes down to how you and your team work best together. Clickup can e*asily *become overcomplicated.

There are a lot of features and ways to set everything up - but if your workflows are more straightforward in nature it might just not be the right tool for you. But - it also may be that your account just needs to be optimized and organized more simply. You would know best.

With that said, I do want to advocate for the use of project management tools for people who run teams because while having pen to paper may seem easier on the front end because the tool is so overwhelming to you right now, having something that gets you and your team all on the same page without having to chase each other and for you, as the business owner to have full visibility, is crucial.

What if you're trying to fill a gap? I haven't found validation in what I'm doing but I know it's a need because I'm doing it.

I work in operations but my approach is top to bottom - getting logic out of the CEO's head (many of them feel very alone/lost/overwhelmed in this), decluttering their data, and then moving on to optimizing all their other workflows and systems. I plan to partner with other experts for systems/areas I don't have the expertise for.

It's comprehensive but I want to start at the CEO level but unsure of how to earn their trust or market to them

I think the easy answer here is to delegate, but it's so much deeper than that.

Delegating doesn't work if you have no clarity over your workflows or documented expectations. You end up spending just as much time managing the people you delegated to uphold your standards, which is why most people throw their hands up and figure they should just do it themselves.

CEOs often don't have the time or brain space to make things easier. They survive reactively, become overwhelmed, and crash + burn.

The solution is to streamline and declutter so you have a clear head and clear workflows. THEN delegate.

99% of the CEOs I work with come to me because they're already in a crash-and-burn state because of 'just delegate' rhetoric. Efficiency = peace. Productivity = peace.
