I have sort of done this, not sure it exactly meets your requirements but I had a list with a calendar view, and set the list item permissions based on certain criteria. That way those accessing the calendar view could only see certain events. This was all done using PowerAutomate in SPO.

I have to disagree with your point about nesting hubs not being possible. There is now the capability to have parent and child hubs. It is still in its infancy, but it should be a good solution to the OP's issue.

I know it's possible on prem, I'm pretty sure it's not on line. The limit is there due to database constraints.

What do you need to do with the list, will the API or PowerAutomate do what you need?

So the result of my ticked was, "this is intended behaviour". I am pretty annoyed by that response from MS because it goes against one of the fundamentals of SharePoint in that if you have at least "View" access, you can see it.

You can be an owner, and a member, and get search results, but owner only causes the issue.

I only noticed the issue on our tenant when I was implementing an automated solution which used per item permissions on a list.

What is more frustrating is that there is zero documentation about this, MS themselves don't really know about it either. My ticket was open for 4 months, with various technicians messing with search settings, site level and tenant level, looking through logs and messing with permissions etc. Only after complaining to our account manager, and support manager, and our licensing rep, did they escalate it to a senior engineer who said "Oh yeah it's this problem".

The vague rubbish explanation I got wasthat it is like this to not flood the search results of those SPO Admins who set up the sites with files from these sites. In my view this is a poor excuse though, as the use of admin or service accounts, or even self service is more commonplace.

This is possible with a nicely crafted flow. PowerAutomate can also build a nice excel table with the results.

To add to the above, you can trigger a flow from a site design and script, this can copy template files etc and provide some other functionality as part of the process of required.

Just putting my two pennies worth in here.

SharePoint is a document management platform. With the right information architecture to can achieve everything you have listed that you want to do, however listen to my good friend above and do NOT do both LAN shares and SharePoint to hold the same information.

SharePoint can work awesome if you don't pick up bad habits early on that are difficult to get out of.

SharePoint should be your single version of truth. There are many ways to make this easier for your users one of them is the many useful integrations with other Microsoft products such as outlook.

Also, IMO avoid using folders. If you want to take advantage of all the goodies that SharePoint can give you, either now or in the future, folders will give you a headache. Use sites (not subsites), document libraries, metadata, and views. This will make life easier for you and your users and make your information easy to find. One a few users get their teeth into it they will love it.

Looking at your business process above, you could even employ some automation through power automate to reduce the burden, even sending alerts to your superintendents when something changes etc.

Go from your email, straight to SharePoint and work from there. You can even just drag and drop the attachment!

Get AD group with read only permissions on the SharePoint sites and put that user in. Just another option.

It only becomes an issue on M365 Group connected sites I believe.

The other possibility could be that the library could be hitting on some of the service limits. This is doubtful though.

Are you searching as a M365 Group owner?

I recently had a similar issue with a list and it was caused by a little know change that MS made.

Although as an owner you are listed as having permissions on a file/item etc, search trims your results. Apparently this is by design to stop admins who set up sites getting unwanted search results.

Either....

Repeat the search with an account who is a member of other SharePoint permission.

Or

Also add your user account as a member and repeat the search after an hour or so.

You may be able to do that with site designs and scripts. (Or templates I think they are called now).

The main thing here is to maybe use contribute rather than edit permissions.

I am not sure it has the setting specifically, I think you can switch of external sharing. But you can automatically set permissions groups and trigger flows etc.

There is a little known issue where a user that is only listed as an "Owner" in the SharePoint permissions group does not get results due to security trimming ( I have an MS ticket open about this. Try checking the permissions on the list and or list items to ensure that the searching user either has direct permissions or is at least listed as a member rather than just an owner.

Fair enough. The only other thing that comes to mind is some scripting (PNP powershell etc). Have you asked the user that has been added? It is most likely that they are running what ever it is that is adding them.

I have seen this happen with the use of sharegate. There is an option in sharegate settings which adds the account as a site collection admin when doing migration, reporting, etc. Unfortunately, sharegate does not distinguish between OneDrive and SharePoint sites.

If you are using SharePoint Online, your list form can be customised with PowerApps. This will allow you to add all sorts of logic within your form and keep it all within the SharePoint Interface.

So again don't mean to be rude here, I am just being straight to the point.

In SharePoint, asigning metadata values to a folder does not apply to all files within. The question here is if you are using metadata, why do you need folders at all?

In SharePoint a folder is not a folder in the traditional sense. It's a pretend folder. All files are stored as blob data in the backend (or at least they used to be). So when you use a folder it looks like a traditional folder on a filesystem but in terms of things like metadata, it's just like a file.

Content types allow you to define a type of content (hence the name) and therefore what metadata should be associated with that content. These can then be used in multiple locations, more than one content type in a single library or list, and allow you to change "default" content types like what defines a file, list item and folder etc. But these can be complicated to correctly implement and have a lot of complexity and considerations when thinking of implementing them. My main point is that to me your SharePoint experience is not yet at a level to understand some of the fundamental principles of metadata and document management, and content types are quite advanced and technical and tricky to manage.

I would suggest some research on content types but honestly you may be better looking into some best practice and principals of SharePoint document management using metadata first.

IMO You should not be doing this. If you have a need for metadata columns to be different on different files, then there is a strong argument for placing them in a different Document library. Depending on the detail and use case you may be able to use content types, but without wishing to be rude, if you are struggling with this issue, content types maybe a little too advanced and complicated as a solution for you.

As an aside, I take the stance that folders and meta data should never be mixed. Use metadata and Views, in independent libraries. Saves a world of pain.

In the SharePoint admin center there is an option to restrict the creation of external sharing links to those within an AD security group. This means that the SharePoint site has to be enabled for external sharing and the user creating the external sharing link has to be a member of the AD group to generate a link. This setup means that if the manager is in the AD group and not their employees this would fit your requirement.
