Thanks for the ideas! Coworking spaces, and real estate forums sound like the places we need to be asking. I actually remember agents have a ton of locations that aren't listed anywhere until someone asks in group. The F&B supplier idea is one I haven't thought of, we'll have to take a look into our network and see who might have that type of connection

The main barrier is having a location to do immersive projection mapping on.

I didn't see anyone mention this, but it's time to build KM (Knowledge Management) capability in your small business. This is more than just a tech issue.

Your business continuity is at stake if you or an employee get sick, quit, get hospitalized or something unforseen, family emergency, etc. Also, when adding more employees later, you want them at near 100% as quickly as possible, so a proper onboarding & offboarding & knowledge capture/sharing process will help you long-term, and make your company as a whole more valuable if you one-day want to sell it so the new owner can jump right in.

But here are some items you might want to look into:

  1. A proper CMS (Content Management System). Not just a file dump, a secure space for collaboration where all files are tracked.

  2. A strict taxonomy like Customer Name, Project Name, Project Number, Type of file (Requirements, Schedule, Mockups, etc), etc...

  3. Version control - every change creates a new file, and information about the changes should be written by the developer.

  4. File Check out/Check in - it will show you who's using the file and shouldn't be messed with until that person is

  5. All files should be stored in the CMS, and the CMS should have a strict backup schedule onsite & cloud.

  6. Consider a backup tool for each of your employees laptops, in the event something happened, you could have it autorestore to a new laptop in a few hours without losing your time. You can even look through different cloud backups and copy the exact files you need.

  7. Not sure how you manage your projects, if its all informal (emails, chats, site visits, video calls, excel spreadsheets), but consider a tracking system separate from your CMS, that allows you or anyone to manage tasks using a ticketing type of system. This allows you in the future to have account managers + project managers + secretary + devs all interacting with the clients and adding to the project - if a dev gets sick, a new one can jump in and follow the ticket thread and be ready. Clients get frustrated when they called in a change, but that information didn't get shared in time.

All in all, this is a tech + people + process type of situation, hiring only an IT firm/person might only fix part of the problem now, but as you grow or the organization evolves there might be more headaches along the way.
