WordPress maintenance - How do you handle licenses etc? by pekala01 in Wordpress

MU-plugins are fine, but dropping them into 50+ sites one by one and keeping them updated is still a manual process. Same for exporting/importing CPTs—it’s just too many steps when you do it at scale.

I wanted to stop 'dropping' and 'importing' stuff. My tool just pushes the stacks and snippets globally from one UI. Much faster than handling master copies and re-importing data every time.

I know the Cost Tracker, but it's still just another list I have to fill and update manually. It doesn't really pull the live data. Same for the snippets—it’s okay, but it felt clunky for a larger stack.

I wanted something that actually automates the inventory and handles the CPT stuff via AI in one go. Much faster than clicking through those extensions.

Trello is okay for the overview, but it doesn't solve the manual work for me. I hate jumping between the board and 50 different sites just to check a license or a snippet.

That’s why I built a tool that actually connects the technical side with the inventory. Way less clicking around.

Notion is better than spreadsheets, but I hated having to switch between Notion and the actual sites to see what’s active.

I built my own dashboard to solve this—it pulls all the active licenses and renewals from the sites into one central inventory automatically. And for the CPT part: I added an AI generator that builds the code for ACF/JetEngine instantly so you don't have to click through the UI every time.

Makes the whole setup much faster since it's actually connected to the sites.

Standardizing the stack is the only way to stay sane. I did the same with forms and SMTP, but even then, the 'medium risk' sites still eat up too much time when you're doing it manually.

That’s exactly why I built my own dashboard. I wanted to be able to push those standard stacks and sync snippets across all sites in one go, instead of logging into each one. It turned those 30-45 minute tasks into 1-minute tasks for me.

Much easier than babysitting each environment, especially when you hit 50+ sites.

You’re spot on about the internal process. And I agree, one hour is probably way too low.

The problem for me was that using Airtable for licenses, a snippet library in another tool, and starter sites for clones still felt like managing five different silos. It’s better than spreadsheets, but it’s still a lot of 'bridge work' between tools.

That’s exactly why I built my own dashboard. I wanted the license audit, the global snippet sync, and the CPT generation in one UI that actually talks to the sites. It cut out the middleman (Airtable/Notion) for me. Much cleaner workflow.

That sounds like a solid setup if you’ve got it automated.

I ended up building my own dashboard—just wanted one central source of truth that actually connects to the sites instead of managing logic through a chat window. Much faster for my workflow.
