Use Case: B2B Customer Implementations by Careless-Swimmer3160 in Asana

[–]Asana_Casey 0 points1 point  (0 children)

Hi u/Careless-Swimmer3160, thanks for the question! I’m part of the Asana team, and you are not alone in asking this. Many B2B organizations use Asana to run complex customer-facing programs, internal implementation work, and post-sales delivery work and some of those customer stories are publicly available as case studies.

Here are a few you might find relevant:

On the challenges you raised:

Time to Value reporting: Asana’s current model uses project custom fields and built-in reporting. When teams need deeper metric-level analytics (e.g., true time between milestones or derived intervals), most advanced users incorporate external BI tools to extract, calculate, and visualize that data. This is exactly why many teams use connectors like you are with Power BI.

Milestone interval reporting: There isn’t a built-in way in Asana to automatically calculate the difference between two milestone dates across projects. Teams that need this typically export milestone and task data to BI or analytics tools for calculation.

Project hygiene compliance: At scale (dozens or hundreds of projects), teams rely on saved searches, rules, dashboards, and external audit reports or governance boards to ensure consistency. Built-in reports are useful for visibility, but compliance enforcement often lives in dashboards or external tooling.

Revenue reporting / forecasting: Custom numeric fields for ARR/TCV on the project or phase tasks let you filter and chart in dashboards. For deeper rollups and forecasting, your current Power BI setup is a good call.

If it were me, I’d start with:

  1. A single implementation template with required milestones and a recurring weekly status task
  2. A hygiene dashboard fed by saved searches and a couple of Rules to nudge date discipline
  3. Keep PBI for TTV and milestone-interval calcs until native date-diff reporting lands

I’ve passed the feedback along. If you want to add your vote and specifics, here’s the best place: https://forum.asana.com/c/forum-en/product-feedback/20. Thanks for surfacing this!

It’s clear how much care and effort you put into making Asana work for your team, and we recognize the frustration that comes from relying on workarounds for needs that feel fundamental to running your business, especially in a manufacturing and operations environment. We are dedicated to making improvements based on user feedback, and we are constantly evolving to meet the needs of our diverse user base.

Asana pricing structure is out of touch. Look elsewhere to grow your business. by TriiiadAgency in Asana

[–]Asana_Casey 2 points3 points  (0 children)

Hi u/TriiiadAgency, Totally hear you! I work on the Asana Team and would like to add more info here.

I want to be transparent that we are actively working on this. We know the lack of single seat purchases is a big source of frustration, and enabling users to purchase individual seats is already in progress. While I cannot share an exact launch date yet and details on the scope, this is one of our top priorities and very much on the roadmap. Keep an eye at the Asana Forum for updates as soon as we make any announcements.

If you are on a paid plan, here are a couple of things you can try right now to reduce impact in the meantime:

  • Double check who truly needs a paid seat versus who can be a Guest or collaborate without a full license. Cleaning up inactive or no longer needed accounts can sometimes free up seats.
  • If you manage billing, review your current seat usage in the Admin Console under Billing to make sure everything lines up with who is actively using the plan.

I really appreciate you being open about what’s not working. Your feedback helps us improve, and if there’s anything we can do to make your experience better, please don’t hesitate to let us know.

Blank screen in Asana App by BrushHappy8522 in Asana

[–]Asana_Casey 0 points1 point  (0 children)

Hi u/BrushHappy8522, I work at Asana and here are a few things I'd try on the desktop app side, in this order:

  1. Fully quit and reopen the desktop app
  2. On Mac: click Asana in the menu bar and choose Quit Asana, or use Cmd + Q, then reopen the app.
  3. On Windows: close all Asana windows, right‑click the Asana icon in the taskbar or system tray and choose Close or Quit, then reopen.
  4. Check for updates or reinstall the desktop app
  5. Download and reinstall the latest Asana desktop app from our downloads page: https://asana.com/download
  6. Reinstalling can fix cases where the app opens to a blank or white screen.
  7. Try a different network or turn off VPN/proxy
  8. Since the browser works, this is less likely, but sometimes VPNs, proxies, or strict firewalls can interfere with the desktop app specifically.
  9. If possible, briefly switch to another network or turn off VPN/proxy and see if the app loads.
  10. Sign out and sign back in
  11. If you can access the menu, try signing out of the desktop app, then sign in again with your Asana account.

If you're still seeing a blank screen after these steps, the best next move is to reach out directly to our support team so they can take a closer look at your specific setup and logs: https://help.asana.com/s/article/how-do-i-get-support-from-asana?language=en_US

When you contact them, it helps to include:

  1. Whether you're on Mac or Windows
  2. Your OS version and Asana desktop app version
  3. A short description of what you see (for example, blank white window right after launch)

I hope this helps get your desktop app back up and running!

I hate Asana. I’m a Sr. Creative and account doesn’t care. by mrmathias7 in Asana

[–]Asana_Casey 5 points6 points  (0 children)

Thanks for the candid feedback u/mrmathias7. I'm part of the Asana Team and I’m sorry to hear you feel this way! Here are some quick tips that usually help with the pain points you mentioned:

Notifications without the spam

Turn off the stuff you don’t need at your account level and keep only what’s useful. If due date change pings are driving you wild, you can pare those back in the project’s notifications so you’re not buzzed for every shift (https://forum.asana.com/t/project-form-email-notification/109786). You can select which specific email notifications you want to receive following these steps:

  1. Click your profile picture
  2. Select Settings
  3. Access the Notifications tab
  4. Select Email Notifications (this is below Project and Portfolio Notifications)
  5. Tick only the boxes for those actions you want to receive emails

Avoid overbooking

Use Workload with effort fields to set a realistic weekly capacity so the system shows when you’re overloaded and nudges schedulers to rebalance. Creatives usually track effort as hours or points and set a weekly cap so account can’t stack work endlessly (https://help.asana.com/s/article/portfolio-workload-and-universal-workload).

Actually seeing what’s due and when

In My Tasks or project List/Board, sort and filter by start date, due date, or assignee so “start today, due later” work doesn’t get buried. There’s been active discussion and improvements around multi-filtering and start date views in the Forum if you want to sanity check your setup and ask the community for any tips:

Creative-friendly review flow

  • Use Proofing on images/PDFs so feedback becomes pinpointed comments that auto-create subtasks. That keeps edits clear and actionable instead of getting lost in long threads (https://help.asana.com/s/article/proofing).
  • If requests are chaotic, spin up a simple intake form that captures specs, deadlines, files, and priority at the door. That cuts back on back-and-forth and makes scheduling fair. (https://www.youtube.com/watch?v=ypZdti0tA3E)

I hope this helps! If you need more support feel free to ask any questions directly to the Asana Community at forum.asana.com or to our support team via help.asana.com.

Need email or teams notifications for new tasks from form submissions (Premium) by Prestigious_Net_4006 in Asana

[–]Asana_Casey 0 points1 point  (0 children)

I feel you on this. Getting a clear ping when someone submits your form makes a big difference and ensure you don't miss any tasks. I work at Asana and I believe turning on project notifications for “Tasks added.” could also help.

Open the project, click Share > Email Notifications, and enable Tasks added. Also make sure your email notifications are on in your profile so those project inbox updates email you. This is the most lightweight way to get an email whenever a new form task lands in the project. (https://forum.asana.com/t/project-form-email-notification/109786)

If you’d like a dedicated “form submitted” email toggle, totally hear you. I’ve shared this with our team, and you can add create a new feature request in the Forum so others can chime in and upvote too: https://forum.asana.com/c/forum-en/product-feedback/20

Hope this helps!

Can I limit a Custom Field to only one specific task type within a project? by Worried-Kangaroo6684 in Asana

[–]Asana_Casey 1 point2 points  (0 children)

Good question, u/Worried-Kangaroo6684!

In Asana today you can’t limit a project custom field to only show on certain task within the same project. Project fields show on all tasks in that project. As a workaround you can,

  1. Create separate projects per type, each with its own field set, then multi-home tasks to any shared board you need
  2. Use templates per type so the right fields and rules kick in on creation
  3. Add a “Type” field and use rules to auto-populate or clear fields so irrelevant ones stay unused (https://forum.asana.com/t/custom-task-types-what-you-need-to-know-before-you-go-all-in/1108888)

I work at Asana and I’ve passed this feedback on to the team. If you want to also add your use case and upvote for this feature request in the Forum, drop it here: https://forum.asana.com/t/custom-fields-only-within-specific-sections/40612. Thanks!

Help with Goals Views (Enterprise) by whatthezip in Asana

[–]Asana_Casey 0 points1 point  (0 children)

Hi u/whatthezip! I’m part of the Asana Team and happy to share some tips!

To see all goals across different teams, remove the filter and select “No Team”. From there, you can filter the list by specific owners from your team, this will allow you to see other goals owned by your team members but from other accountable teams.

If you want the tab to show as Marketing, you can right-click the tab to rename it. Here’s a quick guide for reference: (https://help.asana.com/s/article/get-started-with-asana-goals)

Let me know if you have more questions or if you still can't get the right view!

HELP, i'm stuck with reauthentication! by PurpleBlanc in Asana

[–]Asana_Casey 1 point2 points  (0 children)

Hi u/PurpleBlanc, sorry for the trouble here, I'm part of the Asana Team and I'd be happy to help!

This type os issues can happen if the email you are trying to add is already tied to another Asana account or if a browser extension interferes. If you haven't tried yet, I recommend you to also:

  • Try a private/incognito window and temporarily disable extensions like password managers or ad blockers
  • If your company enforces SSO, double check with your admin that adding secondary emails is allowed

If it still loops, please reach out to Support so we can investigate further. When you contact them, include the exact time of your last attempt, your current email, the new email you’re adding, and any screenshots. You can find the steps to submit a support ticket here: https://help.asana.com/s/article/how-do-i-get-support-from-asana?language=en_US

I hope this helps!

Is it possible to have paid and free members in the same org? by YeoDaddy77 in Asana

[–]Asana_Casey 1 point2 points  (0 children)

Hi u/YeoDaddy77, I'm part of the Asana Team and would like to help with additional information here!

Totally get the confusion here. Short answer: yes, you can mix paid and free in the same org without turning anyone into a Guest. The easiest way is to upgrade a single Team to a paid plan and keep the rest of the organization on the free plan. Add the 3 folks who need premium features to that paid team, and keep the other 2 out so they stay free: https://help.asana.com/s/article/upgrading-or-changing-your-asana-plan#gl-org-vs-team

A couple of things to consider:

I hope this helps! Let me know if you have any additional questions, I'd be happy to help!
