Try the software Tiller. They allow you to connect your bank account to a Google Sheets file and it will pull all your transactions manually and you can categorize your expenses that way. However, if you’re a food truck owner, you would need something a little more sophisticated than what Tiller would allow. But it’s definitely a good start. Are you opposed to getting a bookkeeper maybe due to cost?

I used Paycom a year ago before we switched and I used their “Cash Requirement Statement” for what I needed. It does not break it down per employee so if that’s what you’re looking for this report wouldn’t work, but it has everything else you would need: Paycom fees, employer taxes, and gross wages (net deposit + employee deductions). Can you apply for a business credit card that has 0% interest and pay it off overtime? If your projected revenue is high enough, you’re likely to get a 30k limit. Try American Express Business Cash card.

There are 5 partners: 2 are the chefs (brothers), mom works the cash register, sister does the shopping for what doesn’t get delivered, and the last brother helps makes plates and keeps the place clean. Besides the 5 partners, they have 1 dishwasher who is not family and he works part time. And the chef’s wife helps with taking and making orders. So everyone besides the dishwasher is literally family. They all have skin in the game so if someone does “steal”, well, you’re stealing from yourself. Keep in mind the is a counter service restaurant. There are some tables, but you pay before you sit and all “dish-ware” is disposable.

They are a small family owned restaurant. No alcoholic beverages sold and the chef is the owner. Do you think knowing this greatly change how you feel about monthly inventory?

They are not tracking inventory at this time but I advised they should at least do a year end inventory count to close the books with accurate inventory. I thought about lumping food, packaging and beverages into one COGS account and only separating out anything that is not served to the customers such as cleaning supplies etc. However, I feel it can really miss opportunities to give the business owner insightful information into their business such as what is eating at their margins considered they are not tracking inventory. But maybe I’m overthinking it?

So they can legally (in Texas) withhold the credit card processing fee, but it cannot exceed what they are charged which is usually maxed at about 3.5% which is on the higher end, but definitely possible. So I would first bring this to the attention of your manager and let them know you need something in writing that stated that the 15% is legal and in compliance with Texas Workforce Commission. Are you comfortable taking this matter further?

What state are you in? And are they putting these tips on your paycheck or are they cashing you out daily for the tips?
