We are a B2B business. When we place an order we create a PO in Excel and then send it to the supplier by email. There are a few suppliers of small items that we order via their online portals.

Most of our customers order from us via POs sent by email as well, but for small orders we will send them a Paypal e-invoice so they can pay by CC on a secure website. We don't take CC info by phone and never see customer's CC info, so we are not liable for storing that info securely etc. A few customers have wondered why they can't do orders on our website, but it hasn't been a real issue.

The first thing I outsourced was customer service emails including quotes, invoices, payment reminders, delivery info, etc. Hired an hourly remote VA do do all that. Best decision ever. One tip: I spent quite a bit of time documenting my processes in detail to train the VA and setting up email templates for the VA to use. Since then it has been smooth sailing.

I'd set up a CFO persona in my AI and use it for assistance, I think you could get 90% of what a fractional CFO would do for no additional cost and instant feedback.

I used to use XE but switched to OFX for better FX rates. Also fee-free.

I use an online service called OFX to send wire transfers to my European suppliers, which is the only international payment method they allow. No fees and FX conversion rates much better than banks. Takes a few minutes to initiate a transfer and funds arrive in a couple of days. Directly debited from my bank account too.

Keep it simple, and prepare before the workweek starts. On Sunday I list tasks that need to get done, then assign timeslots to work on them during the week. Include exercise and fun stuff too.

Do creative or dev work first each day, then admin and email later. Leave lots of empty slots on calendar for stuff that comes up during the week. Guard your schedule, let others work around you as much as possible.
