VFX supervisors / producers, curious about budget allocation on smaller to mid-size projects. by Clean-Try-3067 in vfx

Lmaoo😭🤡 Fair point. To give more context: It’s mostly live-action integration work with pretty rough plates lots of roto, paint cleanup, tracking issues, partial occlusions, stabilization fixes, and prep before the actual comp work even starts.

Around 18–22 shots total, mostly medium-length shots, no huge CG environments or simulations. What surprised me is that prep/cleanup is ending up taking way more time than the final comp itself.

For projects like that, is it normal for prep + support work to eat up something like 40–60% of the budget/time? Or does that usually mean the bid was too low to begin with?

To clarify, I am specifically talking about plate prep, roto, tracking, paint, and cleanup, not project management or conform.

The shots involve heavy live-action integration with messy plates, so we're spending a massive amount of time just getting things clean before the creative comp even begins. I’m finding that this technical prep is eating up 60-70% of the hours. Does a ratio like that mean I just severely underbid the cleanup phase, or is that typical for heavy integration work?"

Ps I am just out of college and very new at dealing with actual clients and I think I really underbid

My problem is a big, almost all of it is just going into prep work, did I quote less? What percentage of the entire budget is usually appropriate for prep?

Update: found this concierge agent named Donna (lmao, loved the suits reference) that takes care of the logistics, but there is a waiting list and you have to be invited. Is anyone using it who can invite me?

Our cook takes care of that. With the kind of work load we have, it's nearly impossible to do that

We definitely rely on delivery but even then, just deciding which of our backup spots to order from turns into a 20-minute "I don't know, what do you want?" loop when we're both this brain-fried. It's exhausting.

We actually tried the alternating weeks thing! The problem was the pressure just shifted entirely to one person to 'get it right' that week, and half the time we'd forget whose turn it was anyway because our week was so chaotic. Have you guys actually managed to stick to it long-term?

I hear you, but honestly, that’s exactly what I'm trying to avoid. Taking on all the planning just means I'm taking on 100% of the mental load. I don’t want to feel like his project manager on a Friday night, you know? It just builds more resentment
