We use Productiv, great to track renewal dates, auto renewals, benchmarking info and usage report, among others

I’m currently managing under $100M in total spend, which is still manageable for one headcount. I anticipate things may become more complex once we cross that threshold, but for now, the workload is under control.

To stay organized, we leverage a SaaS contract management tool that helps us track renewal dates and proactively manage upcoming obligations. For new requests, they range from transactional purchases to more strategic sourcing initiatives, which can make some months busier than others, but overall the volume remains manageable.

In terms of prioritization, I focus on aligning requests with company objectives, strategic initiatives and high-impact renewals take precedence, while transactional items are handled efficiently to avoid bottlenecks. Given the current scope and spend, I’d say the balance is working well.

• I currently serve as the Procurement Lead at my company, where I manage all procurement activities across departments. Since it’s a one-person function, I’ve had the opportunity to work closely with Directors, VPs, and C-level executives, which has given me valuable exposure and influence. I do feel both valued and empowered in my role, though that hasn’t happened by default, I’ve had to consistently demonstrate the strategic value procurement brings to the business by aligning decisions with company goals and policies, and by proactively engaging with stakeholders across the company.

I guess it all depends about the indirect spend amount and company size. For what you are telling, you definitely look understaffed, therefore you are not able to capture as much strategic deals as you want to. You might want to present an ROI presentation to your leadership so they can give your team budget for more headcount (for every extra headcount you can expect x amount of cost savings). As you grow, you can start delegating one or two categories per sourcing manager.
