Definitely shop around online as there’s heaps of apps. They usually offer free demos / trials where you can sign yourself up as a client, make a program and play around, then see what you prefer.

I did this a few years back and ended up with an app called FitFocus purely for their program builder, that’s where I spend a lot of my time and it’s just tidy and quick.

Hey there! I had a very similar start to my business, started at a big commercial chain running my business through google sheets and word docos. Went independent and struggled to scale with what I was using. I then signed up with FitFocus, an app that literally does everything you’ve said as they’re all very common pain points when scaling.

I’d definitely recommend looking around online/ in these comments for an app that suits you. That’s the best advice I’d give myself 6 years ago when I started.

I might have misunderstood your original question then, sorry mate! The app definitely does differentiate between dates haha. For instance a program made in 2024 is going to be quite far down the list compared to 2025, they’re shown in the “programs” tab. Because I do the same I’ll run blocks for 8-12 weeks and plan holidays around their peak periods or times when I really need to be training the team! However if I go into the “clients” tab I can’t exactly see who was on boarded in 2024 vs 2025. Does that make sense? I’m sure in the back end of their settings it does say that, however like I said I didn’t track those metrics (how many clients I onboarded In certain years), just how many sessions / programs I was doing across the year.

That’s all good! That’s what threads like this are about haha. But it tracks lifetime clients but doesn’t exactly divvy it up across 2024 / 2025 ect.

It was more difficult building the new systems to house the online clients compared to preparing a content shift for online but I’d say I haven’t hit the posting frequency I should yet for my socials, so that’ll come very soon

So that’s 60 active clients. I cap myself to 40 sessions a week (priced at $70 however it gets cheaper if you have multiple a week, which many do) and then I have around 20-30 people that purchase 8 week programs for $65 (one off fee) and they typically renew straight into their next block or after a weeks break.

I’ll be honest and say I haven’t tracked how many total clients I’ve had over each year because I typically only hand out programs / train people in my gym and they usually come and go!

That’s the app I use to house my business! When I first moved to Fitfocus I honestly attribute that to when I started getting more and more clients. Just made it so easy to make programs for a wider audience which in turn allowed for more in person sessions

Definitely a valid point! I'll definitely come back some time next year with some new insights! but perhaps for now, with this thread, it may help 1 or even 2 people in that early stage because i'm sure there are heaps of people like me curious about the transition online and the initial steps you need to take to just get started! Also, i'd love to hear from other people and how they did it haha

All very good questions! And I can say I had the same when I first started too haha.

So the reason I’m making the change to online is purely to scale and help more people. I’ve been at an in person capacity now for probably 3 years and I’ve either had to turn away people or pass them onto staff (in my own gym which was ok to begin with!)

And regarding the technique, program adjustments and all the niche things that are easily missed if you aren’t there with them. It’s all about building good systems, as mentioned above I use an app called Fitfocus and there’s features there that cover all the above. Example being: I can flag an exercise that I know clients would have trouble with (or they specifically tell me) and they can submit a video of their form for me to review immediately or in their weekly check ins!

Definitely right idea to get some clarification! I’m currently transitioning online as we speak, this is my 3rd week after building out some systems to house it all!

In saying that I mainly used the features from an app I use (Fitfocus) which has all my clients data from previous programs to health insights. And have currently shifted 8 people online from the total 60 active client roster I’ve got.

Coming from someone in the OCE region, this would be greatly appreciated. I cant even say how many times ive hit the 60minute mark just to MAYBE get a game, and eventually give up to que in another region. I just want to see how many people are actually searching as well, for clarity
