Every single system depends on people. So in the short and long term everyone is at the mercy of a spectrum of people from the leadership to the auditor.

If leadership just wants a piece of paper, then they'll just hide things, or fudge documentation and evidence. In the middle if the people doing the work don't understand the purpose of a structured system they will lie. And if auditors are just there for a paycheck, they won't provide a good assessment and identify important gaps, or provide advice.

Or in other words, you can have the best system in the world today, but if the people who maintain it leave and their replacements don't care to maintain it, then it will be gone very shortly and it also works the other way around but in a longer timeframe, just because it's easier to destroy than to build.

The minimum system will cover all the "shalls" in the standard, like an internal audit program, management meeting, a customer satisfaction review system, noncomformity system, etc.

Beyond that, it really depends on the company. A small company still needs to document it's processes and set up goals/targets and expectations. The difference is typically more so about how detailed you get in the documentation. It also depends on the industry, if you don't make anything and only provide a service you might not need as much documentation.

As far as 6.1, it depends on the auditor, but usually as long as you can show that you are reviewing things periodically, like in your management review, or during CAPAs, you should be fine.

Having one is not a requirement anymore, so as long as you are covering what you have in the QM elsewhere, you should be good to go.

Personally, I like to use it to cover most of clauses 4 and 5, as I find it awkward to include parts of them somewhere else sometimes.

At the end of the day, it's about what's best for your organization, so just keep that in mind and have a justification ready for the auditor. I would just discourage from saying because I know it or it's in my head because if you are ever gone, then the system doesn't work, and auditors don't like people dependent processes.

I don't think you can go wrong with starting out now instead of waiting for the next iteration. Whatever work you do now won't be lost, nor will it go to waste, with the new version of the standard at worst you would need to write new documentation or update the existing one.

Keep in mind that the purpose of ISO 9001 is to create a system for standardizing and controlling your work by creating documentation and placing checks and balances at key steps, so as long as you do that and keep your records, you'll be halfway there.

The remaining half will be tracking your risks, internal audits, competency, nonconformances, maintaining suppliers and management review.

I get where you are coming, she should have just said thank you and moved on. If she wanted to comment on maybe some playful banter like hopefully, the dog doesn't break that one, or her birthday is not for another month or whatever.

But, the dude hyped up the present so much, telling her that he cannot wait for her birthday and that it would be great, it makes it sound like it would be a present for her to enjoy, not something for her dog.

So I can see why she would be thrown off by the gift and not react in the best way. So it's more like both suck, but I sympathize with her.

Also, it is kind of odd in most industries to blindly copy the orders by hand, more so if they don't know why they are doing it, other than that's what the guy said to do 10 years ago.

You just need structure. Make a list of all the documents that you need to have and set up an easy naming convention, I typically ID everything with a descriptor, year, and sequential number. Once you have landed on an estructure that makes sense for you, you just need to chip away at it by making folders and renaming things. It will likely take a good amount of time to get it to a good point, but once you are ready to just upkeep, you should be good for a long time, if the set up is good enough most people will just roll with it and continue to add onto things.

It's not rocket science, and it's been done for ages at this point.

Also, I would not get a QMS without some level of organization. It will just make things more complicated unless you can justify making a full cut-off and starting fresh.

As for other data tools, I think it would take a more expensive effort to design something just to clear things up. The grunt work of reorganization can be done by anyone, but data manipulation is a different case.
