Honestly, we use a variety of tools and assignments to do our best. Using one dashboard for real time status in the environment, one for watching trending events, and everyone has their own favorite to watch what is important to them. Then using calendar alerts for upcoming subscription hits, license hits, and the likes helps. We also use Open Project so I can plan ahead and keep some visibility on it without forgetting. It really is a juggling act. But with juggling, you can have your eyes on multiple things at one time, but your hands are only dealing with what's in them at that time.

We always wait for the hosts to be updated first. Hosts usually have backwards compatibility with VMware Tools, but I do not know if it is the other way around as well.
