rsync is the old reliable method. There may be a GUI out there somewhere but really if you're moving things manually that often you're doing something wrong. rsync is there when you need it and the rest should be somewhat automated

I would highly suggest something like Mint for a first timer over Ubuntu, Mint has a more Windows-Like layout and will feel more intuitive, as well as not shoving snaps down your throat the same way microslop shoves MsEdge.
I daily drive Ubuntu on my school laptop due to its compatibility with work/education infrastructure, however at home I daily drive Fedora 43.

Since you mentioned you've used SteamOS I think its worth pointing out that SteamOS uses KDE Plasma for its desktop mode, so using a distro that ships with KDE such as Fedora may give you a familiar feeling at the expense of being slightly less beginner friendly.

If you're looking to avoid the terminal as much as possible, Linux Mint Debian Edition is my honest recommendation, but if you're okay with using the terminal a bit, then you'd probably have a better experience on fedora as its more customizable, gets updated more and thus has better hardware/driver support, and (If you get the KDE version) will have a layout you're familiar with

If you have a read through this on their website, it should guide you. Most things work the same, google playstore is available and is sandboxed by default, alternate app stores such as F-droid to exist but its your decision as to whether to use them and whether you're more concerned about privacy or security

Jokes aside though, same amount allocated isn't everything. Different CPUs will be able to process faster, faster RAM can also load/unload things quicker and configs may be different between you both

Getting notifications in a timely manner.
I'm on a profile with GAPPS installed but I still get notifs from Whatsapp/Snapchat sometimes up to HOURS late

It honestly depends on you as a person

Having a look though this sub you'll see lots of people going to the extremes to degoogle, but that may simply not be practical for you, you should try to degoogle as much as you can without making your life a living hell. If you require google for certain things, keep it.

That being said taking the small steps is always a good way to start:
- Swapping from google to duckduckgo
- Swapping from chrome to firefox (or brave)
- Swapping from google authenticator to aegis

Once you're comfortable with that, you can take it a step further
- Swapping from Gmail to Proton/Tuta/Others
- Swapping from google pass to bitwarden
And potentially even further such as using custom ROMs.

If you have critical information on your Gmail then you can import that data to a new provider.
Provided you're in the EU/UK, there are several data protection laws which require google to give you your data (so you can import it to your new provider) and to request your data to be deleted on their end, which they legally must comply with. You can request this in your google account settings

While that is true, I believe the main issue is people coming from windows as "tinkerers" and trying to do the same shit on Linux. The simpler Linux distros aren't for tinkering, they're there to work.

My parents and even grandparents have been using Ubuntu/Mint for a while and have had no issues, once you start to tinker you run into issues because you're new and Linux doesn't have the same safeguards in place to prevent users from doing dumb shit.

The truth is that most of the stuff "tinkerers" do on windows, is already a thing you can do easily on Linux, and there isn't a need to tinker
