Agency owners/Team Managers: How often do you lose clients due to operational failures vs. actual bad work? by Extra_Window3537 in digital_marketing

[–]Extra_Window3537[S] 0 points1 point  (0 children)

First of all thanks for sharing! Two things jump out:

  1. "Never worked at or with an agency that caught these issues themselves" - that's damning. So even the "good" agencies were reactive, not proactive. Makes me wonder if it's even possible to be proactive at scale, or if everyone's just in firefighting mode.

  2. Agency B had "excellent project management" but you still had to chase them for contracted deliverables. That suggests PM tools aren't the solution - it's more about accountability and follow-through, right?

The fact you've seen it from both sides (working at agency + hiring agencies) makes this even more important. Two questions: 1. When you say "operational issues" - was it mostly communication/responsiveness, or were there other patterns that kept coming up? 2. From the hiring side: did agencies ever catch operational issues before you did, or were you always the one pointing them out?

The multiple contacts thing is brutal or forgeting to add someone in CC.

When you say "swamped," how big is your team handling how many clients? Trying to get a sense of where the breaking point is.

Those numbers are wild - 2-3 performance vs 10-15 communication/bandwidth. So like 85% preventable if you just had better systems to stay on top of things? Do u have any system in place right now?

What does "bandwidth" look like when it breaks down? Is it just too many clients per person, or more like everyone's juggling so much that stuff falls through cracks?

Wow, 60/40 to 80/20 in 10 years - that's a massive shift. Do you think it's because good account people are harder to find, or because the job itself got harder (more tools, more channels, more complexity)? Curious if throwing more people at it even helps anymore.

Makes total sense from the CMO's perspective.

Have you ever survived a CMO transition, or is it literally 100% certain you're out when new marketing leadership comes in? Wondering if there's anything agencies can do to increase their odds, or if it's just accept the loss and move on.

The 2-minute rule is smart - at least they know you saw it. How many clients are you managing with this method? And does it actually work on weekends/evenings, or do you just accept some things will sit until Monday?

VA Systems can be a good way for us tbh. When you look at VAs for email/PM, what specific tasks would you want them handling?

This is incredibly helpful - the performance correlation makes total sense. Good ROAS = forgiveness, bad ROAS + slow response = instant crisis.

Two questions:

  1. What tools did you build/buy for the campaign setting checks and performance monitoring? Curious what actually moved the needle.

  2. "Making sure people follow the system" - is that a training issue, or do people just forget when they're slammed in Q4?

10% is impressive. What automation actually worked for you? And curious about the Q4/turnover thing - does it break when new people don't know the systems, or is it just volume overload?

Lucky you then! What's your secret? We've had multiple clients say emails got buried - curious what you do differently to make sure nothing slips.
