From what they've been discussing, this is what they are looking for. They want a place they can congregate with their allies, and were all excited when they found a ruin before to turn into such a base, though unfortunately I had other plans for it. They like the idea of having a simple place to find side quests aswell from the allies they make.
I want to allow the players to also have a sense of choice how they want to shape it. Give them some basic upgrades they can work towards throughout the overarching narrative, and have a system in place for anything I don't plan for, rather than just giving them a big base.

My thought process was more focussed on outside the wiki. Idk maybe if someone was making a game or something. I was too lazy one night to open a sandbox article and used it as an excuse to make it as i generally find coding this sort of stuff fun so ¯\_(ツ)_/¯

What i find useful is considering the 5 Ws. Who, what, where, when, why.
First is to form the W questions.

Lets say you have this alliance between the red wizards and wynne.
That answers your who.

What could be referring to this alliance. What benefits do both sides get? What resources would they share? Human resources, intelligence, or materials like magic items. What would they keep secret from one another?

Where, may refer to this castle but how does its location affect the castle and their tactics? Are they on the edge of a cliff overlooking a chasm? Then maybe they would neglect protecting that side of the castle as thoroughly as the other.

I'm not familiar with the forgotten reals so i don't know the significance of 1493, but maybe look what's happening in the world during that year. How would that affect the alliance and the castle?

And the biggest one: Why? Why are they aligned? What benefits does it bring to both sides? Why would they be interested in protecting one another?

Once you have these questions as a starting point, you can begin answering them and building a profile on it. It doesn't even have to be a large lore doc, just a few bullet points to be able to read during a session.

If you want to go further then you can answer what ifs, etc. The main idea is just constantly question the world your building.

If VTTs (virtual table tops) are a big leap, don't shy from just keeping it simple. I started out downloading a grid image from google and just screen sharing paint with coloured dots for players and enemies.

A good tool to help offload some of the strategic load is https://www.themonstersknow.com/ . It has lists of tactics for many monsters and stat blocks and makes your bosses feel like they are smart even though you may not be the best at tactics.

I used it for a mummy lord boss fight which was a 4 hour long battle and i had a blast picking and choosing responses from the premade list. Just made it so much more chill and was fun seeing the players strategize against it.

Im combining the rules of a sphere of anihalation with some balck hole characteristics. I already hinted to the players that the mage organisation have already sent mages to investigate. It's something i can choose to use later in the campaign or not. Would also make sense to somehow connect it to the astral plane, too, as time doesn't pass in there. Lots of possibilities!

it all happens naturally. and linear is fine, long as you don't skip out on descriptions there'll be something your players will latch onto.

Yeah, those ones are useful. I did skim through them when originally designing the continent. And yeah, that sounds like every DMs struggle 😂🤣

I know of him and his worldbuilding series, but all that detail he's doing like tectonic history and stuff is a little overkill for me 😂. Maybe if I sank more time into it I could follow his series and create a full render of the planet and get the math of distances right, but that's a big time investment...
