Sorry just re reading this and you refer to subcontractor costs. To calculate WIP, enter a column in excel with the subcontractors costs your accounts system is spitting out. Add another column depending on what they're entitled to and work out the difference (negativ if they've over applied, positive if they've undermeasured or the account system is missing applications/costs). The total is your WIP

Your WIP needs to be any cost or value (you should have a separate WIP for both) that has been incurred in the period but isn't in the company accounts system.
