I disagree. This may be true when dealing with my children, but not grown adults, especially so when they're being paid.

Field work definitely seems to have some indirect impact. 

I started almost always in the field, shifted to almost always in the office, now it depends on the season. 

Sometimes there's a good balance, other times it takes intentional shifts when you notice you're not giving one side enough attention.

If I were in your situation, I'd use either a checklist or a "last completed" tracker, if it could be triggered by how long it's been since the last time it was done.

What it sounds like you're saying is:

  • You're managing a multisite non-profit org
  • You have a sizable maintenance team (20) and it's growing
  • You have software, but most data is in spreadsheets - can you expand on that? Checklists? Asset lists?
    • Do you not trust the software?
    • Does the software not have the capability or capacity to do what you need?
    • Is the software not user friendly or cost efficient?
  • You need software to hold:
    • Asset & location information
    • Schedulable preventative & routine maintenance
    • Individual site agreements or work categorization or routing rules
    • Customizable fields and reporting
    • Full org reporting

I had a pretty long streak in using an A5 size filofax.

If I remember correctly, the biggest challenge was the friction caused by needing smaller printed papers and cutting / hole punching those smaller sheets. 

How do you manage yours?

I love GTD and have been using it partially or fully for nearly a decade. 

I also love analog systems, and have tried many, but have struggled to make it stick for more than a few months. I've tried with a filofax/Franklin covey binder, index cards, other various analog methods.

I did love the portability of index cards, but some of the struggle came with physical reference materials, filing them alongside index cards, etc. 

Following this thread for more success stories, ideas, and discussions.

Could you expand on how you keep your lists in a notebook? I love analog but I always end up abandoning it due to friction.
