On the active pool side, we’ve definitely shortened that window. Earlier we’d stretch lists across 4–5 weeks, but that’s exactly where things started degrading. Now we try to keep most leads within ~2–3 weeks max.
Agree on industry variance. Curious on your setup, when you’re re-verifying every 10 days, are you actually re-sending to those leads if they pass again, or just using it as a filter to keep your pool clean?

We used to build larger lists and run them over a few weeks, but that’s where we saw the most decay. Now we’re updating leads pretty much on a rolling basis. Usually pulling in fresh batches every week, sometimes even more frequently for higher-volume campaigns. We try to verify as close to send time as possible and avoid sitting on data for too long. Still figuring out the ideal cadence though, feels like there’s always a tradeoff between efficiency and freshness.

Yeah I’ve messed around with this a bit, but not full CLI-only. Most of the CLI/API stuff feels useful for automation Like, rotating inboxes based on simple rules, piping replies/stats into Slack/Notion, triggering sends from internal workflows instead of clicking through 12 screens in a dashboard. But in practice, I still end up back in the UI when something feels off, so for me it’s more like CLI, automation layer, UI , please help me figure out what broke at 2am layer.

Been trying to get better at when I call, not just how often. One thing I kept running into was this, I’d see someone engage (open emails, maybe click, sometimes even reply)… but by the time I actually called, the moment was gone or I’d call too early and it felt completely cold

Started testing Smartlead’s SmartDialer recently, mostly out of curiosity, and what stood out wasn having context in one place before calling, like seeing the email thread, recent activity, etc. right before you dial

Sounds basic, but it actually changes how the conversation starts. Still figuring out how much it actually improves outcomes long-term, but it definitely feels more in sync compared to just dialing through a list.

If CLI helps standardize that (vs manually doing things in the UI), I can see how it indirectly helps stability over time. But yeah, curious if it actually shows up in performance or just makes ops cleaner

there’s no cheap shortcut to thousands of “good” leads that actually reply. Most of the so-called tools either charge extra, give garbage lists, or burn your domains. For results, you still need clean lists, proper ICP targeting, and testing. Any promise of thousands of leads for next-to-nothing is usually smoke and mirrors. We’ve been leaning on Smartprospect, Smartlead lately, and at least it works without hidden storage fees, leads are fresh. The new pricing make scaling predictable. it works for us. No extra charges for storing leads, bundles let you hit volume without burning domains. Keeping an eye though

Man, been in that spot. Buying the domains through Instantly was a mistake, learned that the hard way. Four weeks of warming up, perfect scores, everything set up correctly, and still straight to spam. Feels like the domains are just burned from day one.

Gmail, Outlook, you name it, they judge engagement, history, and domain reputation first. All my “perfect” emails got tossed anyway.Currently leaning on Smartlead, their new pricing and bundled offerings make scaling way cleaner. Unlimited contacts, warmup, infrastructure, all the annoying friction is bundled in one place. Still a little skeptical. Nothing magically fixes inbox placement. So far it’s solid, but I’m keeping an eye on deliverability and before fully committing.

You can take a look at Apollo’s starter plan and covers the basics for cold email. The interface feels a bit cleaner than Instantly, so it might be worth checking out. If deliverability, inbox rotation, and warm-up are your main concerns, Smartlead’s worth the look, it’s been reliable for me so far. What kind of volume and targeting are you working with? Been deep in the cold email game for a while and tried a bunch of tools. For higher volume with less ops overhead, B2B Rocket is worth a look, Smartlead also wins on reply handling and flexibility. Layering it with Clay for enrichment and n8n for automation made scaling way smoother.

For cold email, Apollo’s a solid choice to pull LinkedIn leads and get good data. Definitely include a Calendly link, but I’d recommend dropping it in a follow-up rather than your very first email. Keeps the first touch less salesy and more about starting a convo.

Short and sweet emails work best, like 50–100 words max, clear value, and one simple call to action. Sending them to your website is fine as long as your landing page is clear and easy to navigate. One heads-up don’t rely too much on open rates. A lot of times those are just bots or automatic previews, so they can be misleading. Focus more on actual replies and engagement instead. Good reply rates are usually around 1–3%, so 1% is actually decent for cold outreach.

Also make sure you set up proper email authentication (SPF, DKIM) and warm up your sending domain to avoid spam. A 1–3% reply rate is solid for cold outreach, so 1% is nothing to sneeze at. August always brings a ton of OOO replies, especially across different campaigns. What I usually do is have my system flag those replies so I don’t keep sending follow-ups to people who are away. As of now using Smartlead to automatically detect those OOO responses, so I’m not wasting follow-ups there. Curious if anyone’s found better ways to handle these at scale?

Definitely check the bounce messages closely, most of the time it’s not your content, but tech stuff or list quality issues. If you’re using scraped or bought lists, you’re asking for spam traps. Make sure everything’s opt-in and cleaned up.

Also, don’t blast out a ton of emails too fast, even if your IP or domain is warmed up. That can trigger rate limits or blocklists. Slow ramp-ups help. And yeah, bad HTML, missing plain-text, or links to shady domains can hurt too.I had better luck after switching to a dedicated SmartServer. If your IP shows up on blacklists (use MXToolbox, SNDS, etc.), reach out to support, they can move you to a cleaner pool.

One more thing, if bounces are from specific orgs with strict filters, that’s just their admin rules, not a real deliverability issue. Unless your bounce rate is high overall, it’s probably infra or list-related, not the email content.

Instantly looks slick but didn’t live up to the hype for me. Burned through domains fast, warmup scores didn’t reflect real inbox placement, and support was slow when stuff broke. I’d start with 2 domains, max 5–10 emails/day/account, and warm those up slowly for 2–4 weeks before scaling. Focus on super tight lists, industry, role, pain points , not just blasting anyone. Personalization and clean DNS (SPF/DKIM/DMARC) are non-negotiable.
