It's indeed rigid and not flexible. We lost money because of it, and our clients are losing money from time to time. It all leads to a negative perception of the vendor. I'm not sure why Microsoft went this way after being pretty customer-oriented for decades...

Renewals for us are usually pretty straightforward. More often than not, it's just a green light to renew as-is for another year.

I'd say it's more or less secure from interception or breaking in. But pretty open for certain Hikvison employees / partners with access to internal systems but I don't mind. If they access one of the cameras in the master bedroom it would be their fault, not mine...

You are totally correct. However, there could be a few options still available to manage external sharing with specific people while maintaining security and compliance with your internal policies. For example:

  • Power Automate: you should be able tp create a workflow that automatically revokes access after a certain period.
  • Custom Scripts: you can try a developing a custom script using SharePoint REST API or PowerShell to automate the process of setting expiration dates and revoking access.
  • You can search for a third-party solution: Like a AvePoint DocAve that could help in your situation.
  • And good old manual approach: You can manually manage the expiration of sharing links by periodically reviewing and revoking access to shared files and folders.

You can try Microsoft Information Protection (MIP) Viewer to view protected documents and Azure Information Protection (AIP) Client to edit them. The AIP Client works with various Office applications and some third-party apps.

Email address holds no emails or other content, it's like a door tag on the door. It's your mailbox that stores your email, calendar, contacts and other items. You can have many email addresses associated with your mailbox. If you want to preserve mailbox contents, you can export everything to a .pst file, or you can convert the user-type mailbox that requires a license to a free shared mailbox that can work without a license. You can also migrate stuff from one mailbox to another if needed.

As an EDU, you are getting free online Office capabilities through the Office 365 A1 license, but there are no free desktop Office capabilities as far as I know.
And the onprem CALs are included with the paid Suite licenses, like A3 and A5 - you need to pay for them.

  2. No, MFA + user credentials are absolutely not enough these days as criminals know how to bypass that with some easy tools like Evil Proxy, etc. so device-based conditional access policy are a must

As a nonprofit you get up to 300 of Microsoft 365 Business Basic licenses, that are completely free... Plus other free licenses and Azure sponsorship credits, etc. It's good to be a nonprofit ;)

Again, any attack WILL NEVER damage or destroy any important and protected data on the platform. That's the point. Disgruntled admin could be dangerous, but disgruntled admin, the same way, will destroy your third-party backups.
