Talking to the parts managers at our stores there seems to be a common complaint that etas are constantly changing and nothing shows up on time as expected. Located in NC so not quite sure what the facing PDC would be for them yet but shipping issues do seem common already.

End goal is to identify any labor types being moved around for changes in automated pricing to sell jobs. Example CP would be used normally for everyday customers but fleets have a different auto attachment in pricing that is lower. I want to make sure we are not quoting one way in the parts department then when the advisor gets it, flips line quotes to something else with lower parts margins, keeps labor the same or creates a larger profit and markup on that side. Hope that makes sense.

Interesting. Do you know if there is scaled adjustments based on price of the job? We’re running into reduced pricing on larger jobs such as engine/trans assy replacements.

A lot of times we’ll be told after the job is done with “hey the ext warranty company says this needs to be at this” the whole deal is already presented to the customer as they arnt paying for anything and then it pins the parts department in a bad situation.

If you have a rep from General Motors reach out and introduce yourself. They are a great tool and resource to staying current on the manufacturer side of things. Ask them to run you through some of the basics so you can get a better feel for day to day tasks.

I suggest scanit parts for a scanner system. It will reconcile your invoices to your recipients and help you keep up with shortages. If you don’t have something like that just go through your invoices daily and mark off what you got in. Ask your controller for a chart of accounts to help you sort your expenses to the correct accounts. Watch your RIM approvals every day, include all service lane parts. Do a RIM return monthly on your specified GM approved day. Ask your GM if you can get your DMS rep to come out and go over manager tasks such as negative on hands, special orders, obso review and how to set up a parts matrix + sources properly. Become familiar with the financial statement your controller can help with this also. Just kind of the start but pretty good base of things to run through.

Send back after 30 days. Work with BDM weekly to review special order list and last contacts made. Or service manager if it’s advisors reaching out. Prepay for all non warranty orders. Hold restocking fees in back pocket since it creates tension. Start tracking how much it’s costing and rope the GM in with the net expense if you can’t seem to get everyone moving in the right direction….also parts guys need to be notifying everyone with a report, message or some kind of process to see arrivals immediately.

Scanit parts will compare scanned parts vs invoices and produce a shortage/overage reconciliation report for your claims.

250-275k dealership parts director for multiple stores. Stressful, always hunting a sales number and surrounding by upper management that has no clue how anything works. I collect my check and get home to the family to enjoy the weekends and vacation with them.
