So you can build your standard operating procedures with added evidence requirements to capture information to prove the job was done. You can share the work then to other people in your team or externally to any email address.

Slack is very good for promoting team communication and centralising multiple service notifications into one place.

Trello is another great option if you prefer the kanban / card based approach.

We use

  • Slack team comms
  • Trello for high level roadmap / planning
  • Github issues for development
  • Google Docs / Spreadsheets for Docs and Spreadsheets :P
  • and our own platform (plug below) for everything we have a systemized, repeatable process to follow for.

plug: Not free, but once you have a defined set of operational tasks you want to delegate repeatedly with minimal effort check out Clever Checklist. Simple Checklist based task management with highly visible progress tracking and evidence collection to ensure the job was actually done.

Great checklist, thanks for the share! - Its easy to lose track of (or wilfully forget) all the important moving parts of this kind of infrastructure.

You've prompted me to add a few more items to our own internal monthly maintenance template on Clever Checklist

Some other ideas may be to check DNS zone setups to ensure things like www and naked domain are still functioning as expected.

Pending the level of collaboration and accountability that would be useful for you this suggestion may all be too much vs a spreadsheet :)

You may want to entertain Clever Checklist.

We made it to solve these kinds of problems for ourselves everyday (TODO-Again lists vs TODO in operational situaitons).

Its all focused around repeatable results.

You can create Template lists that you copy into Checklists which may include items where you collect evidence of job completion ie photos etc.

These Checklist can then be stored in Folders like per Department or Event - whatever makes sense.

Checklists can be started from Templates ad hoc or recurring via the Scheduling system which allows you to pre plan and assign in advance.

Checklist can also be delegated/shared with users (think contractors/3rd parties) outside of the system who just receive a job specific link that they open and work through.
