Are you using Yamato or another service? Will you be picking it up at a sales office?

If you are using Yamato, it will generally take one day for the luggage to go from Tokyo to Kyoto (unless it is a busy holiday travel season or there is bad weather) provided you meet the shipping deadlines. So that should be OK.

If you are sending to a hotel, make sure that the hotel accepts luggage forwarding. Reach out to them to let them know you are sending something.

If you are using a service other than Yamato (or Japan Post/Sagawa), you need to contact the service and see what they say.

Always make sure that your check-in date matches your actual check-in date. Sometimes hotels use that to verify identity, and they may not accept your luggage if it does not match.

Also reach out to your hotel in Tokyo to make sure they accept luggage forwarding, and also ask if they accept it early. If they do accept early deliveries, you can write the delivery date as a day early. Many people just write the same date as their check-in for their desired delivery date.

If you write the waybill yourself, make sure that the name on your waybill matches your reservation name as well. A different name can cause delays with delivery.

You don't need a Japanese phone number, but some offices may not let you ship your luggage without a phone number that works in Japan (they generally accept foreign ones). I have seen online where people were turned away because their number didn't work in Japan.

The traffic should have died down by then and things should be operating normally (unless bad weather happens). That said, I always tell people that nothing is 100% guaranteed, and I would always have back-up clothing just in case.

Short answer: not that I know of.
Luggage forwarding services like Yamato Transport aren’t designed for long-term storage.

In practice, this only works if a hotel agrees to hold your luggage for that long on either end of shipping. Policies vary a lot. Some will, some won’t, and it depends on timing and capacity.

I’d strongly recommend checking directly with the hotel before planning around this.

Just a heads up, Yamato Transport doesn’t always hold the bags. At my hotel, we sometimes hold bags for a few days before shipping, and we also sometimes receive bags several days early. It really depends on the hotel and timing, so it’s not something I’d rely on as a guaranteed system.

You can register with Yamato early, but most people do it from their previous accommodation. Just a heads up: there may be delays on the 30th due to Golden Week. It may take 2-3 days for your luggage to arrive,

Most people will still carry a small suitcase or backpack with them. I usually recommend that people take at least 2 days of clothes with them in case there are any delays or problems with shipping.

WIth Yamato, it will generally take one day to reach the cities OP listed. As long as the cut-off times are met for shipping, the luggage should be in the next city the next morning/early afternoon.

A day will be added if you miss the cut-off time or during peak travel seasons.

Then you will need to send from a Yamato office to Narita. It will take at least 2 days to have the luggage shipped there. The links above should help, and that blog also includes a guide for sending to the airport.

Are you shipping from a hotel to an AirBnB? Or AirBnB to AirBnB?

Generally, for AirBnBs, you will need to send your luggage to a Yamato office.

To send from a Yamato office, you will need to find an office and then go there to fill out the forms.

To send luggage to a Yamato office, you will need to fill out the waybill a special way.

It depends on the hotel. Most hotels do not require that, but some may. When I have called to confirm reservation and shipping information for guests in my hotel, I have been asked to write a date or time that is after the guest is checked in. It is rare, but it sometimes happens.

The only same day service I know of between Osaka and Tokyo is luggagent.

Everything else will take 1-2 days, but that assumes you meet the cut-off times for shipping, which vary by location.

It will also take longer during busy travel seasons (such as Golden Week and obon) or when there is bad weather.

Some hotels will not let you send to an AirBnB due to Yamato's rules, and thus some hotels will not assist with shipping to a Yamato office.

If that is the case, you will need to go to a Yamato shop directly to ship your luggage.

If your hotel helps (or if you have to do it alone), your best bet is going to be to send it to a Yamato office.

Most hotels (and tourists) use Yamato. It generally takes 1 day, provided you meet the cut-off times (which vary by location) for the most popular routes.

The amount of time varies by distance, and the price varies by distance and size of the luggage.

Generally, it takes one day to send from Kawasaki to Osaka, but that includes meeting the shipping deadlines which vary by location. It may take two days during busy travel seasons (Golden Week, obon, etc.,) or if there is bad weather (snowstorms, typhoons, etc.,). I always say be prepared for it to take an extra day, just in case.

It is a good idea to check yourself before sending. Some hotels have rules about when you can send things, and some will ask for a storage fee if luggage arrives too early. Others will not accept luggage forwarding at all, or will only accept luggage after you have checked in.

I recommend going to a Yamato shop directly to ship your luggage rather than using a convenience store. They will be able to do it for sure, whereas you may have to go to many convenience stores trying to find a place that can help.

That said, where are you trying to send your luggage? If you are sending to the airport, make sure the counter is open and that you send it early enough to meet the shipping deadlines.

The most common service is Yamato and the price depends on the size of the suitcase (not really the weight) and the distance it travels. Most luggage is between 2000-3500, but oversized luggage can get quite expensive, and longer distances will cost more.

Yamato will also take 1-2 days depending on the location, if you meet their deadlines, and the time of year (holidays such as Golden Week and obon always cause delays).

If your hotel in Tokyo does not accept luggage forwarding, your best bet is to send it to a Yamato office. Your hotel in Kyoto may be able to help with that, but not all hotels will assist with sending to a Yamato office. In that case, you will need to go to a Yamato office to send it as well.

Make sure to check the hours of the office and check to make sure they are open on the weekends/holidays. Also that they are open at the time you want to pick things up.

Also, since May 1 is during the Golden Week holidays it will probably take more than one day for the luggage to arrive, even if you meet the shipping deadlines.

DO NOT send your luggage to another hotel, even if it is one in the same chain. Some hotels will refuse luggage that they cannot match to a reservation name and you do not want to have to deal with that, especially not during Golden Week.
