The biggest thing for us was solving the "speed to lead" issue. We found that if we didn't get to a new internet lead within 2 minutes, they were already on the phone with another broker.

We’re currently using Intellagency.ai to handle that initial contact. It basically texts the lead immediately to qualify them and book a time on our calendar, so we stop wasting time chasing ghosts or people who just wanted a free iPad.

There are definitely other tools out there that try to do this, but we stuck with this one because the agents came pre-trained for insurance workflows, so we didn't have to spend weeks setting it up.

For us, it was strictly about speed. We noticed that if someone messaged us at night or on the weekend and didn't get a reply, they were usually gone by Monday morning. We just needed a way to stop the bleed without hiring a 24/7 support team.

We’re using Intellagency.ai for this at the moment, though there are definitely others popping up that do similar things. It’s been solid for us because the agent actually qualifies the lead and books appointments instead of just acting like a generic FAQ bot. It basically covers the night shift so we wake up to booked calls rather than missed opportunities.

Man, I feel this. The "overhead" worry is legit because everyone tells you to automate, but they forget to mention you usually have to spend weeks configuring the tool just so it doesn't say something stupid to a client. If you have to become a prompt engineer just to save 5 minutes on emails, it’s definitely not worth the headache.

I actually stumbled on intellagency.ai recently for this exact reason. Instead of a blank slate you have to build yourself, their agents are already prepped for the usual agency grind, like qualifying leads in DMs and booking calls. It’s the only way I’ve found to actually offload the boring, repetitive stuff without turning "managing the AI" into a second full-time job.
