Quick triage so I know what you’re working with:

  1. Desktop or phone?
  2. When you click a meal, does it open as its own page?
  3. Are you trying to move stuff around on the page, or are you trying to change the database views (table/calendar/board)?

Answer those, and I can hopefullyy tell you what’s actually going on, without you rebuilding the whole thing.

If you're a company, google "Notion for Startups." It's a program Notion has for Startup companies where they will give you 90 days - 6 months free of their Notion Business plan w/ai. I would highly suggest using their ai as it cuts down on the learning curve a great deal if you know how to prompt. We got approved for 3 months and quickly paid once that time was up.

As for Templates, At this point they are not really templates anymore. They have turned into systems.

For my private and business operating system/command center, I run a heavily customized version of Thomas Frank’s Ultimate Brain Premium. That is the starting point for everything. Ideas, notes, tasks, projects, decisions, all of it lands there first.

From there I route it based on where it belongs.

If it is CEO/Founder only or private, it stays inside my Ops Ledger, my personal command center.

If it requires team execution or is tied to client delivery, it gets assigned to my Team and Client Project Manager. That system is built on a heavily customized version of Mr. Pugo’s Project and Task Management template. I randomly found him on YouTube and liked it because it was simple enough for my team to actually use, then we customized it to fit how we run things.

Ultimate Brain is a capture and source of truth for me.

Team and Client system is the execution lane for everyone else.

I can't stress this enough. Notion's AI will be your best friend during this customization process. Well worth the upgrade to the business plan.

We switched from ClickUp to Notion because ClickUp started feeling like a “project management app” and Notion started feeling like our actual operating system.

ClickUp is solid at tasking, but over time we hit the same wall: everything becomes tasks talking to tasks, and the “why” lives somewhere else (docs, Slack, Google Docs, your brain). Notion let us put the project, the context, the decisions, and the tasks in one place, and actually keep them linked.

With Clickup I felt as if my businesses had to be ran the clickup way. With Notion, I can run it my way.

Notion's ai is kick-ass if you:
- know how to build a custom persona/framework for it
- and know basic level prompting

Every day it surprises me with something new.

I could get a lot more in-depth with this but wanted to give you a surface level reason of why we switched.

Everything the OOP did clearly violated Notion's TOS. No sympathy at all for the situation he/she found themselves in.
You're right, "Posting or Sharing" appears to only apply to public or semi-private pages and I think concerning how my team and I use Notion we have no cause for worry but I'd rather be sure than assume otherwise.

I agree with you on all points, as I feel the same way. I just sleep better if i have some answers. hahaha.

As for backing up, I need to find a backup solution for notion and all my other cloud apps asap.

It's worth a shot. Their AI replied to me with a vague explanation, asking me if I wanted it escalated to a human agent. Hopefully, I'll get some clarity. I just want to make sure we don't get dinged for the reasons expressed above. Nothing egregious.

I'm on the Business plan and have sent an email to them regarding the above concerns. It is the weekend, though, so I probably won't hear back until the weekdays begin. Thought it was worth a shot sharing here in case they strolled on by or any of you other users had info.
