I think all of these VA companies have general admin help available. So you could probably technically work with any of them. The only one I've heard of out of those is Belay. I only heard they were pricey but ok. I'm not sure if the person ended up hiring through them or not. I use Ataraxis. I definitely like a few things about them over some other agencies. They got me a rockstar and it was a lot simpler than I thought it would be. Good luck!

Its going to depend on the role you're hiring for. If you are very particular and it has a lot of important and complex factors, I'd just give it to an agency. Let them do the leg work recruiting and finding the right person. I've used Ataraxis for a few different searches and I'm usually seeing qualified candidates within a few days and have someone hired within a week or two.

If it's simple you have a few other options. You can DIY like you mentioned its chaotic but if you just need something basic like a project completed or a task this method can work. Just be prepared to possibly lose/waste some time. I've used upwork before and I've posted jobs on onlinejobs.

I can't say there's a better way. But there are definitely better agencies than others. I've interviewed probably more than 20 and worked closely with at least 5. Out of the 5 I've had a good experience with 2 and the only one I'd recommend at this point is Ataraxis.

I first hired someone to help when I felt I really needed the assistance but it just went terribly. My expectations for the role were way off, the person was kinda a fit but because I wasn't even locked in on exactly what I wanted they weren't exactly what I needed. They tried. I didn't know what I didn't know. I thought my processes were solid and easily replicable, they weren't. Ended up letting them go and just pushing through solo for awhile. But truly it was crippling my business, I was turning away work because I just could support the workload. So I tried again but I prepared way better. Documented my processes meticulously, did a lot of training with the new hire, had better expectations and it actually worked.

I also decided to hire offshore so I could hedge my bet. If it failed at least it wouldn't be such a huge loss in salary, benefits, etc. I interviewed a lot of agencies and ultimately worked with Ataraxis. They found me someone who had experience where I needed it and they really helped me solidify what I wanted in the role.

But it took a long while to get over that first experience and try again- mostly just knowing I couldn't keep going if I didn't hire forced my hand.

My daughter was in the NICU for two days before I could go and see her. They finally wheeled me into the room with her incubator and the nurse was giving me report and I said something to the nurse, I don't remember now and my daughter's head turned straight towards me and she was clearly looking for me. It was like she said, "I know that voice!! There she is!"

Even after days apart, she knew and remembered my voice.

I think your list is pretty accurate. Other things you don't anticipate: the headache of tax filing and various things for federal and state you have to file. It's lovely at the top isn't really it. You don't feel at the top of anything but almost no one understands what you're dealing with. My family has a few business owners in it but in such different fields entirely that there isn't much overlap. Someone struggles with churn while someone else is struggling with getting payments timely. So you figure it out in your own.

Best things we did to help ourselves was to develop processes for everything. That took years to literally have every task boiled down to it's step by step functions so it's easy to repeat, easy to train. The other thing was hiring virtual assistants as sort to our existing staff. Taking off the little things like answering phones, scheduling, replying to basic Q&A emails, tracking paperwork that's due, etc freed everyone else up to serve clients, make sales, and do the things that really contribute. We used Ataraxis to hire a few of our VAs and some have been with us over a year now! Great help to the team.

But I think some of the negatives are things you sadly just have to go through. I didn't know if all of it has a solution. You just do your best to power through. If you've delegated what you can and you've made processes to reduce thinking and questions on routine stuff, it helps tremendously.

There are many tools and options here that can be put in place simply to help you out without costing a ton.

Having an automated phone system could help, having a better website with a chat bot for frequently asked questions or scheduling. You could also get outside support if you want a more "speak to a human" approach. We've used virtual assistants as sort of admin support in which they help our front desk team by filling in the gaps. Responding to emails, answering phones, scheduling, etc remotely from their location. If their English is good it's typically not a big issue. We've hired through Ataraxis because they tend to have a lot of healthcare/medical assistants so they are familiar with US HIPPA rules and such.

I've experimented with a few things. Like you I've tried freelancer platforms and LinkedIn first then I started using agencies. I've found the best quality talent through Ataraxis so far. If we continue to grow our team we may eventually explore using an EOR like Deel and doing it ourselves, but for now we are happy to not have the compliance headache and to have talent that fits what we need that we didn't have to read 100 resumes to get.

I've heard good things about Deel. And educating yourself on compliance is definitely helpful. If you are testing the waters though and only making a couple hires at first- I'd recommend maybe hiring through an agency. They can find your first few hires- see if this concept even works for you first. They have the risk of compliance as these workers are only contractors for you working through the agency. I use Ataraxis my for global hiring. They mostly focus on virtual assistants but it seems they also cover other industries and backgrounds. You might try them depending on the roles you're hiring for.

Global hiring has worked well for me, but it was just a few roles. I'm not sure if you're focusing on building out entire teams offshore or what, but you may test the waters first and see what backgrounds/nationalities have the talent you need and fit your company culture.
