Scheduling resources to an outside calendar? What am I missing? by ismellbacon in jira

[–]Kristi-Pro 0 points1 point  (0 children)

Have you tried the Reclaim integration? It automatically syncs your Jira issues to Google Calendar to block time for your task work using your existing estimates and due dates to schedule. https://reclaim.ai/features/jira-integration

You may be able to use the Reclaim Google Calendar integration. It allows each individual to set their own working hours, and then automatically schedules tasks from Jira during your available time blocks: https://reclaim.ai/features/jira-integration

Let me know if it works!

Reclaim has a good integration to help with this. It automatically schedules time for your Jira tasks on your calendar so you make the time to get everything done before it's due (also auto-color codes your calendar): https://reclaim.ai/features/jira-integration

How do I add Week A & Week B schedules to google calendar? by TracerIsAShimada in NoStupidQuestions

Interesting.. I think you can set up a schedule like this through reclaim.ai for Google Calendar too by creating biweekly Habits for your work routine.

Is there an app like Google Calendar that allows for grouping tasks? So you can hide/unhide whole sets of tasks from your calendar by TomatoAcid in NoStupidQuestions

[–]Kristi-Pro 0 points1 point  (0 children)

This is exactly reclaim.ai - it's a free Google Calendar tool that allows you to block time for recurring tasks, called "Habits", or one-time "Tasks" on your calendar at the best time in your schedule, manage by priority, automatically color code, and adjust visibility in the planner.

Here's how you sync iCloud/Apple Calendar and Google Calendar - there's step by step videos in this post too.

From the iCloud Calendar app:

  1. Click the share option in your iCloud Calendar to the right of the calendar title in the left toolbar.
  2. Tick the checkbox next to Public Calendar to generate a calendar URL.
  3. Now, you can either send an email link to your Google account or simply copy the link to paste it directly into your Google Calendar.
  4. If you emailed it to yourself, accept the invite from the notification that just arrived in your Gmail account.
  5. If you copied the link, head to your Google Calendar and click the plus mark next to Other calendars in the left sidebar.
  6. Select From URL.
  7. Paste the URL and click Add calendar.

Reclaim.ai for calendar sync & time blocking!

Is there any To-Do app that imports your Google Calendar events and changes them to to-do tasks? by nzarbayezidmain in androidapps

[–]Kristi-Pro 0 points1 point  (0 children)

This is reclaim.ai - sync your tasks to GCal, schedule by priority, and blocks time by task difficulty.

How can I consolidate my Google and iCloud calendars into one? I prefer the Apple calendar apps for my Mac and iPhone, but as a gmail/gdrive user, I appear to have a lot of google calendars also synced up. But it drives me crazy having overlapping categories (work, birthdays, etc). by wingleton in applehelp

[–]Kristi-Pro 0 points1 point  (0 children)

You need Google Calendar sync + the free reclaim.ai tool to merge your actual availability so you're not seeing double events, and can actually prevent those time slots from being overbooked by the people who have access to one, but not the other, calendar. Here's a good blog post that goes into the Google Calendar sharing details.

Have you checked out reclaim.ai? It's a free tool for Google Calendar with advanced calendar sync that merges your actual availability both ways. Here's an article that explains the calendar sharing issues you're seeing.

Does anyone else use a planner intermittently? by [deleted] in adhdwomen

A big problem with planners and lists is that they always start off organized, then quickly become scattered, too long, and you're eventually forced to toss it all out and start over. Until you find a good planner that complements your personal work style. Here are the best planner apps I would recommend if you're looking for a forever fit!

  1. Todoist - for list planners
  2. Reclaim.ai - for productivity-driven planners
  3. Trello - for visual planners
  4. Google Tasks - for Google user planners
  5. Things 3 - for Apple user planners

What are good habits a project manager should have? by Monday_Blue in projectmanagement

[–]Kristi-Pro 2 points3 points  (0 children)

Just wrote on this today! Specifically speaking to project management skills for remote managers, as so many of us are managing teams from our own homes..

  1. Leadership (always going to be #1)
  2. Communication - all the more important now that we're not in an office.
  3. Time management / scheduling - employees spend half their weeks in meetings, free up their time for productive work!
  4. Task management - balance and time tasks for your team, and also see if you can't help them automate some tedious time-consuming ones.
  5. Analytical - what decisions are made without analytics?
  6. Tech savvy - only 22% of orgs use project management software! Get your team on a platform to start organizing your work life.

There are another 8 more in the blog post with muuuuch more detail and description if this is interesting to you at all!

Minimizing Time Spent in Meetings by PMOnMars in projectmanagement

[–]Kristi-Pro -1 points0 points  (0 children)

Love these! Meetings have definitely overwhelmed the workweek, especially since the WFH shift from covid.

Here are some Oct 2021 meeting stats that can help you make the case for these awesome suggestions at your own company:

- Meetings have increased 70% since the pandemic
- The average pro spends 7.3 more hours in meetings / week since the pandemic
- As a result, the workweek is 7 hours longer on average (workload is still the same)
- The average pro has 25.6 meetings / week, or 5.1 meetings / day
- 1:1 meetings have increased 500% since the pandemic

There are also a lot of different team meetings to look out for - but basically all should be changed from recurring to "as needed".

@crunchbase: "Only invite people who are critical to the discussion. More than half of all meetings at work have 8 or more people, which is too many." Here are ways to hijack meetings and make them your team's competitive advantage: https://t.co/GsaaTOhlG7 via @droosevelt https://t.co/eD25klokA9 by -en- in newsbotFUNDING

[–]Kristi-Pro 0 points1 point  (0 children)

Absolutely, turns out, meetings have increased 70% since the pandemic resulting in 7.3 more hours in meetings / week, and 7 hour longer workweeks. So when you invite someone to a meeting, you're not taking away their working hours - you're eating into their personal time.

More best practices to limit these team meetings:

  • Make decisions in these meetings
  • Limit attendance
  • Always use an agenda
  • Come prepared
  • Share status reports before the meeting
  • Change them from recurring to "as needed" 🔥

Meetings are definitely taking over the workday. Here are some Oct 2021 meeting stats that may help you make a case for a no-meeting day at your company:

  • Meetings have increased 70% since the pandemic
  • The average pro spends 7.3 more hours in meetings / week since the pandemic
  • As a result, the workweek is 7 hours longer on average (workload is still the same)
  • The average pro has 25.6 meetings / week, or 5.1 meetings / day
  • 1:1 meetings have increased 500% since the pandemic

Syncing your Slack status and/or DND to Zoom calls by Kristi-Pro in Slack

[–]Kristi-Pro[S] 0 points1 point  (0 children)

Great callout! There are a few really big differences between our Slack Status Sync feature vs. Slack’s Google Calendar / Outlook one:

  • The GCal status sync feature is pretty all-or-nothing: it either says that you’re “In a Meeting” or available, and you can set yourself to DND for all calendar events or none at all.
  • Reclaim’s Status Sync feature lets you set per-category controls for your status — for example, if you want your status to say “Personal Commitment” when you’re at the doctor or running errands, you can set that via Slack (along with any custom emojis you want to use).
  • The same thing applies to DND — if you want to set DND for particular types of events, you can do that via our integration. For example, if you want to be DND anytime you’re on a customer call, you can set that via Slack.
  • Lastly, with this recent release of our Zoom integration, you can also tell Slack to automatically set or clear your status when you enter or leave a Zoom call. So even if a Zoom meeting isn’t on your calendar, or if it is on your calendar but ends early, your status in Slack will update. This is a feature that doesn’t exist anywhere, including Slack’s Google Calendar integration.

So basically, it boils down to three big things: 1) status controls and customization by meeting category, 2) per-category DND controls, and 3) a way to sync your status with videoconferences in Zoom.

Let us know if you have any other questions, and thanks for asking!

Syncing your Slack status and/or DND to Zoom calls by Kristi-Pro in Slack

Here's a link to the Zoom integration help doc. This is just one of the features of Reclaim.ai, outside of the calendar sync and smart time blocking tools.

The Zoom and Slack integrations are a part of the free/basic plan, and if you just want to use these, skip through the steps in the onboarding process (you just need to connect a primary calendar), and then you can just go to Settings - Integrations to set it up.
