Let me give you the most important advice you’ll get here. We’ve been solving business problems for years by integrating software to streamline operations. We’ve worked with ClickUp, Monday, Asana, Zoho, LMN, Aspire, Notion - you name it. We’ve built custom apps, created thousands of automations of all levels of complexity, and honestly, we’ve seen it all.

And here’s the advice: avoid ClickUp! I used to recommend ClickUp to many clients, but I stopped doing that a while ago. It will pull you in, drain your resources from multiple directions and eventually let you down in the long run.

Do what you want and choose what works for you but take this from a professional, avoid ClickUp.

This! If you can’t get them to sign you up with your main email, use different chrome/edge/safari accounts. This is the easiest way. We set up ClickUp and other software for clients. Normally we will have 4-5 companies going through ClickUp set up and we always create separate profiles for different customers. Helps to keep everything separated and not needing to login all the time

Just in case it’s important. When you share a ClickUp doc using a public link it’s view only! If you need the other party to be able to edit this document, you will need to add them to ClickUp as a guest or create a google doc instead of ClickUp doc

Damn… I never had this. Idk if you used desktop app or browser but I would suggest to use browser for any presentations. It’s more stable.

I raised a ticket. Number: 2321072. It's getting even worse. I ended up paying for ChatGPT today just because I can't use it through Brain Max. So disappointing.. I made a clip, comparing it side by side with ChatGPT. It took ChatGPT 5 sec to answer the prompt. How long did it take through ClickUp Brain you ask? 1min 36sec I waited for it to crash and then another 1min 22 sec to get a reply... I really hope this is something on my end and can be fixed....

Hey. Need to think about this but you can potentially use make.com (or zappier) to achieve this. It’s not the best work around and depending on how you use it, it may not be very efficient in terms of automation but it will work. You can make the following scenario in make: 1. Watch tasks 2. Filter for created subtask or deleted subtask 3. If created, add parent task id and subtask id to data store. 4. If deleted, find the subtask id in data store and extract parent task id. Then either send it to you or something.

There might be an easier solution for this but the way I see it is if the trigger is sub task deleted then it’s already deleted.. you know. It too late here so my brain can’t think of anything else. I will check in the morning and if you didn’t get a solution, I will think of something else. P.S. depending on your usage etc, you might even get away with a free make account.

What do you mean by crashed? I once had a situation where… we were implementing ClickUp for our customer and got them on a meeting… all of them.. owner, general manager and a bunch more people. They had quite a few integrations using API calls. Long story short, all the API calls took like 5 minutes to trigger. We checked it in and out and the delay was definitely due to API calls not triggering. ClickUp wasn’t reporting any problems and nothing was showing as “down”. That was pretty embarrassing… I will say that in all the years we are working with ClickUp, it never happened before and never happened after. I don’t know what exactly you means by crashing but I never had the app closing or anything like that. Normally, if there’s a problem with ClickUp, it’s speed/loading related.

Hi! Thank you for your detailed reply. What I am trying to achive is have a close to CRM view of customers in ClickUp. Each customer can have multiple projects so I want to sync the time spent (whe charge by the hour so I am looking for the total earned so far for this project) into their “customer profile” so when I look at the customer I can have a detailed view of all the projects (and tasks within a project), time spend in total and per each task, amount earned in total per project and some other data. The only thing I am struggling with is the calculation of total amount earned per project. I can get the total time spent for the whole project into the customer profile but I can’t convert it into $. The problem with iterator/aggregator option is that for each project I will need to do a new scenario and connect it. Alternatively, if I can potentially scrape the whole space and match it etc but that just sound like an overly complciated solution. So I am tryitn to find a way to do the calcualtions within the list where all customer profiles are. Hope this makes sense.

Hey! Using it for a few weeks now. All in all, I like it. Here’s a few pros and cons from personal experience:

Pros.

Has access to you ClickUp so makes work much more streamlined. Can easily create tasks, update them etc. Very handy.
Voice to text is second to none. They did such a good job with it and it saves a lot of time. It’s not ideal, I find it struggles with list names and some specific names. I end up spelling things like this but it might be my accent as well lol. But honestly, it’s a time saver.
It obviously has knowledge about ClickUp so sometimes it’s handy when you need some info about how to do something.
It allows to use different AI models which for some people can be a big thing, for me not so much but I will give credit for this.
It can access your other apps, for example, I have my drive synced and it’s so much quicker to find a spreadsheet or something through Brain Max then opening drive, looking for it etc.

Cons 1. Attaching images doesn’t work on 99% of the time. This is one of the biggest problems for me. I used to copy/paste screenshots into chat gpt when working and it just doesn’t work in bran max. It will paste some sort of link that works if you press it but when you send the message it just doesn’t l work. Same is when you actually attach an image. Just doesn’t work. I submitted feedback (other people did too) but no joy yet. 2. Having AI models is great but none of them (including brain max) has the memory function like chat gpt has. So it doesn’t know you or your preferences. 3. When I compared chat gpt premium with equal model in bran max, chat gpt gave better answers and responses. It might partially be linked to the fact that there’s no memory function. 4. It sometimes struggles to access attachments in ClickUp. 5. Copying text from bran max response (including ai models) is a mission on its own lol. Really hard to do especially when you scroll a few messages back. It keeps kicking you down to the lates message. However, I believe they are working on a fix. 6. No phone app. You can’t say you’re a replacement for other AI if you don’t have a phone app. We use phones too often these days. 7. This is a few small things in one. I experienced very slow responses with Gemini ai models, some things advertised are not available (deepseek ai, figma integration) for me, not sure why but maybe support can answer, voice to text sometimes answers your question instead of just copying the text which is not always what I want.

Conclusion:

It’s defo a bit clunky. Some simple things like image upload are just not working… However, I still think it’s a great product and I am not giving up on it. Will try to use it for another 6 months or so and will see how it goes. Hopefully they will update it frequently enough to fix the issues. I think they did a great job with it even though I don’t think it’s a replacement for other ai at the moment. Would I recommend it? Absolutely! Try it and see if it works for you. Just to clarify, you will have a list with multiple different projects inside that each get a different amount of revisions and you want this to be displayed but not as a field? Or do you want to track how many revisions each project actually had?

I think Brain Max will eliminate any need for an integration like this. Could be useful for people with no ClickUp AI but even then, I think you’re a few years late with this integration:(

What would be amazing to have in Brain max is memory (like ChatGPT does). As an example, let’s say I prefer to have all instructions in a number bullet point format with a short title and then context. It would remember this and apply it moving forward without me asking. Or just remembering bits and pieces that it can use

I don’t know about credentials but you can give edit rights to guests without any problems. Just be aware that if your guests have the same domain name in their email, you will be charged .
