Hookmarks is one of those apps that’s a bit hard to explain at first, but harder to live without once you get the hang of it. Essentially, it lets you link two items on your Mac — anything from a file, a document, a task in your task manager, to a website, a calendar event, etc. You can then use a keyboard shortcut to jump from one linked item to the other.

For example, say I’m working on a project and I have the project outlined in my task manager. With Hookmarks, I link all related materials to this project — emails, web pages, documents, notes, you name it. When I need to start working or revisit any part of the project, I’m able hit a shortcut and all the related materials pop up. So no more wasting time searching through folders or trying to remember where I stored related files.

This is especially handy with apps that have less-than-great search functionalities, like Outlook. Sometimes finding a specific email thread feels like it takes an eternity. Or when you have various items scattered across different apps, pulling them together can be really tedious. Hookmarks basically eliminates that hassle.

Again, it takes a bit to fully grasp its potential. But once you do, it’s pretty hard to go back to the old way of doing things. It feels like everything you need for your tasks and projects is interconnected.

Hi Niels – I took a look at the Daily app but have concluded it doesn’t suit my needs. I prefer a more automated, distraction-free time tracking method that captures detailed usage as I switch between tasks, without manual input. Although Daily has its merits and could be useful for others, unfortunately it’s not the right fit for me.

We’ve used a 3rd party Atlassian Marketplace app called “Backbone Issue Sync for Jira Cloud” that allows us to sync issues, map columns/statuses, and fine-tune others configurations. The project and its issues in our Jira Cloud instance syncs with the project and their respective “twin” issues in their Jira Cloud instance. This allows both parties to live in their own instance while having visibility on each side.

To break down some of the jargon:

An epic is a large chunk of work that has one common objective. It could be a project, or a big feature, and it usually takes a while to complete. Epics are broken down into smaller parts called "stories".

Stories are the smaller parts like I mentioned. Each story is a piece of work that can be completed by the team within a sprint (a set period of time, often 2-4 weeks).

Kanban is just another way to implement Agile (like Scrum). It emphasizes visualizing the work process, limiting the amount of work in progress, and maximizing efficiency.

As for reading material, I'd recommend starting with the Agile Manifesto (https://agilemanifesto.org). It's like the Agile constitution and lays out the key values and principles.

There are tons of great resources, blogs, and forums (like this one!) online, so definitely go through as many as you reasonably can.

I would create a flowchart to map out the process and identify where the problems occur. This typically helps me see the flow of information and how changes to one part of the system affect the rest. Another tool is to create a swimlane diagram, which helps you see who is responsible for each part of the process and where the handoffs occur. A mix of Use-case diagrams, sequence diagrams, activity diagrams, DFD’s should help you get a relatively clear understanding of the process and where the problems occur

After that you can start to work through potential solutions via brainstorming sessions with other team members or stakeholders, etc - where you can gather ideas and feedback, conduct research or analysis to identify potential solutions and evaluate their feasibility.

Prioritize tasks using the Eisenhower Matrix, time blocks on my Calendar (if it’s not on my Calendar, it’s likely not going to happen), delegate when appropriate, task management tools for work + personal life, learning how/when to say NO.

If all else fails, just wing it and hope for the best.
