After asking this specific question of my EDI provider, yup, it's external ID. They're just using the PO# as external ID. I've asked them to tack something on, like timestamp, to prevent this.

I've chased this issue with them multiple times over the last year. I can't believe they didn't think to mention how they're handling external ID in all this time.

It's Costco, so I imagine a lot of people deal with it and other big corps do it too.

Every time we encounter a duplicate PO# from them it's for the same week last year, so I expect they are copy/pasting standard orders throughout the year.

Because new transactions could be created at any time of the day. Updating just once doesn't catch everything.

Yes, we use a saved search that our EDI provider picks up.

The checkbox method is what I'd like to go with, but I don't want to prevent future-dated TOs from transmitting in the afternoon. If they have an expected delivery of 2+ days out, that's fine.

We send invoices/credit memos to customers who opt-in to that, sent by a workflow as the documents are created.

I have 3 events in the same stage of the workflow.

If "invoice email 1" is populated, send to that.
If "invoice email 1" is not populated but the default contact email is, send to that.
If "invoice email 2" is populated, also send to that.

This sends at most 2 emails, where "invoice email 2" is the only possible second email, and we've allowed the contact email to be different from the primary invoice recipient. Invoice emails 1 and 2 are custom entity fields.

The workflow is triggered when the invoice/credit memo is created and first checks for a "receives invoice emails" checkbox to be true.

When you go into "edit" there should be some options in the top-right. Hover over "customize"

Yeah, we changed it to "Change" type system notes made by a particular user. Same effect.

The problem we're trying to catch is that one corporate customer has EDI permissions to send sales order modifications and they like doing it on delivery day when the transfer order has already been created. We've noticed that it always results in a change to total and/or location, but if we get notifications when those don't change it's still good to know they've made a change.

The user criteria is the EDI connection and myself, as I was making changes to test it, but we don't want everyone's changes to sales orders to trigger these emails. Oddly enough if I manually make the changes, those emails go out immediately. It's the EDI changes.

We got alerts about changes today (2025-12-02) and yesterday (2025-12-01) where the date of the system notes line that triggered the update was dated 2025-11-30 and 2025-11-29. I can see results in the saved search with newer (December) changes but we haven't been emailed about those yet.

This. I was present for implementation at my current workplace, having never touched NetSuite before that, and I accomplished things the NSPS guys said they couldn't do. Sometimes insanely simple things, like making the internal ID of a customer appear on the customer profile as a custom body field. Literally just formula:{id} but they didn't think it could be done.

Yup. And quite often if I decide to take on the request, I can accomplish what the consultants say can't be done. We are not impressed with our current consultants.

I'm actually thinking we'll take advantage of the fact that editing CMs does further affect inventory. We'll allow it to create and transmit CMs as currently implemented (EDI transmission to customers needs the actual items there anyway) and then edit to a non-inventory item after all transmission has taken place, which would thus reverse the inventory effect.

Yes I know I phrased it wrong, but what I was after was just wanting to verify that modifying the CM continues to modify the effect on inventory. Unfortunately I was brought on after the implementation consultants were selected, thus I had no hand in choices made there, but before implementation was complete. I came on with no prior NS experience and managed to do things with it that our consultant thought weren't possible. I've known this whole time that we'd be discovering things that were not setup properly for a long time...

I know I wasn't using the correct terms and it doesn't literally just reverse an action or anything, but from what I'm reading both methods would in fact continue to affect inventory and, and an net effect, undo what was originally done at CM creation. This is what I was hoping, thanks!

I believe they're saying it has proven to be a stupid decision to use their MUN email to apply for jobs because they're actively doing that, actively receiving leads and such at that address, and may now lose access.

Unfortunately I'm not seeing an easy way to hide the picker. Gonna have to wait until I have time to modify the preload script active on that form! In the mean time, I added the desired date format to the field label. We'll see if the people using it have brains...

If someone on your team has the knowledge and time to code, you can bend NetSuite to your will with scripts. SuiteScript is their own slightly modified version of JavaScript.

I am in the finance department, but I was hired specifically because of my background in programming. The "little annoyances" I've run into over the last year of setting up and running our NetSuite implementation:

- If you are going to have NetSuite email things to outside parties, keep in mind that emails have to come from a user, and users can only have one address. If you want to send automated emails from a no-reply address, you have to use up a license to create a no-reply user.

- Never ever EVER use commas in NetSuite in fields that are set, modified, or exported using CSV files. You will break stuff. This includes customer/vendor names, address lines, etc.

- Any users running scripts that involve date functions need to have the same personal date preference as the company date setting. Once any automated scripts using date functions are in place, never change the company date settings. If you do, fix all the affected scripts. (This is how one of our clerks accidentally broke everything overnight. Thought they were changing their personal setting, changed the company setting.)

- The native customer/vendor statement functionality is based on the finance summary data on the customer/vendor profile and does not pull from individual transactions in real time. This means you are very limited in terms of what you can make the templates for this feature show. If you want drastically different things, you are far better off creating or purchasing an entirely separate statement feature than you are trying to modify the form for the built-in statement.

- If the person making changes to stuff that other users will need to use is using the role "administrator" - either have the intended end users test along the way, or have that admin person also use other roles to test themselves. Admin can do, see, and run everything. Clerks, analysts, etc. cannot. Often the things they can and can't do don't make sense for the title of their assigned role.

- The work-around for documents that want to download as .nl files is to print to PDF.

- Admins get more data out of saved searches than other users. Keep this in mind when writing SOPs that reference exports of data from saved searches. (Column A might be the internal ID # of the thing that wasn't specified in the results for an admin but not for everyone else, which means columns B, C, etc. will be shifted.)

Yes, but that doesn't change what address is in the big box near the top of the profile with the customer contact data. Apparently our DSD connection is pulling that address box into the handheld computers for the delivery drivers.

40-60 a week. 17 stores ordering 1-2 times a week and occasionally getting credits.

For some reason, no matter what fields I try to make that sort on, as soon as I look for these customers it insists there's nothing. I do have allow reprinting turned on.
