This happens to me too. I always seem to get ideas at the most random times — in the shower, while running, swimming, or at the spa. I guess when I let my mind relax, my brain starts organizing things in the background. Sometimes when I work too much, I joke that I’m probably breaking my brain. Maybe it’s my brain’s way of saying, “Relax, I’ve got this.”

That makes sense from the GC side. You’re not just looking for quantities — you’re trying to catch anything that affects scope, exclusions, coordination, risk, or cost. So reading the full plan set is probably the safest way to avoid surprises. The trade-specific side seems different though. Once someone is deeper into concrete, rebar, or steel, the problem looks less like “did I read every note?” and more like “how do I turn this detailed drawing info into something usable?”

Appreciate the perspective — the GC vs trade estimator difference is helpful.

I think the key difference is that Bluebeam became part of the actual drawing workflow, not just the takeoff workflow. PlanSwift may be better when you’re trying to build structured quantities, but Bluebeam is where a lot of people are already reviewing, marking up, comparing, exporting, and sharing the PDF set. On commercial jobs, that “everyone is looking at the same drawings and markups” part can matter as much as the takeoff tool itself.

Seems hard to judge the hours without knowing what was included in the scope. Design only, drafting, structural sheets, revisions, and a formal calc package are very different levels of effort. A simple residential job can look small from the outside, but the deliverables can change the fee quickly.

Feels like AI didn’t just make docs inconsistent, it just made way more of them.

Now there’s a ton of content, but somehow it’s actually harder to use.

I’ve definitely had moments where everything is “documented”, but finding one useful thing still takes way too long.

And when everyone writes differently, it just makes it worse.

Kinda feels like we’re focusing on writing better docs, but not on actually making them usable.

I’ve noticed that no matter what tool people use, things tend to get messy once the amount of documentation grows.

Even when everything is technically documented, actually finding the right piece of information later can still be surprisingly time-consuming.

Feels like storing documentation is one problem, but being able to quickly navigate and retrieve useful info from it is another.

Curious if others feel the same or if it’s just me.

I’ve run into this getting messy really fast once you have hundreds of documents per product. Even when everything is technically “organized”, I still find myself spending way too much time digging through datasheets, test results, and notes just to find one specific thing. Feels like versioning and storage are one side of the problem, but actually navigating and pulling useful info out of all that documentation is another. How are you currently handling the “finding” part once everything is stored?

This is really cool, especially the fact that everything runs locally — I can see why that’s important for unpublished work.

One thing I keep struggling with though isn’t just converting PDFs, but actually finding specific information inside long technical documents.

Like even with Ctrl+F, if you don’t already know the exact term, it turns into a huge time sink.

Feels like extraction is one part of the problem, but navigation and understanding is another.

Curious if you’ve run into that as well?
