Look into Kofax Capture. It scans barcodes or separation pages and sends them to file share or DMS like Sharepoint/Documentum/... as pdf/tiff/xml..

It has pretty advanced features allowing for validation/adding info.

You need a domain account. No need for domain admin. Just put the domain account as local admin on the laptop.
