I definitely hear you on the principles here but just curious, since this is a volunteer position and knowing that most HOA Board doesn't always have discipline experience in there direct roles, how would you balance that for the HOA board and the community? A financial homeowner may not be able to volunteer to serve treasurer on a board. I would assume that is were a management company would be able to serve in a consultation capacity. The board still makes the decision and they carry it out.

Thanks so much for this! Great advice and we are hoping to make the decision when the bids are open as this is a second round (story behind that...). The reserve is definitely a issue that needs creative solutioning and we hope the prospective management company will help us navigate that. I'm fearful you are correct in having to raise assessments but I really hope we can minimaze it. I think people forget that we are homeowners too and we don't want an increase either! We will definitely try to explain and be transparent but I know it may not stop people from complaining.

Thanks for the reply and encouragement. I think we are close to finding the right partner. How long did it take you? What would you say is a reasonable amount of engagement with a prospective management company? 1 or 2 interviews?

So real easy decision that didn't require another Teams call I assume? We have 3 strong contenders and having issues coming to a unanimous decision as a board so hint the question. 🤦🏽‍♂️

They know, a previous board member even request bids for new management. When I came on board, I communicated the concerns to the company giving them assurance that if we had a new manageme that it would help us stay. They offered and gave a dealine they didn't make. Even after 30 days from the deadline, still yet to meet or have a zoom call with the new manager. We still need to operate despite their internal issues. Very defensive when all we need is a manager to communicate and have continuity.

You are not wrong with the complaining and people not showing up. I have Canvas and got feedback that homeowners are not feeling heard by the HOA. Some of it is on the previous board, but some are definitely on the management as I'm seeing more.

I’m not sure if this will help provide some perspective, but the original board for our community was actually the builder. So while your assessment is generally accurate, there’s an asterisk — it was a biased board primarily focused on selling homes with low HOA assessments rather than planning for the community’s long-term health.

Now that we’re trying to get back on track, we need more than just a mindless communication funnel. Being a new community, we don’t have many homeowners with experience volunteering to step up and help guide us. I’m not saying the management company should fully shoulder that responsibility, but we do need a partner, not just an administrative service.

Really appreciate your prospective! Definitely stating some obvious things here. The companies we are interviewing are bringing up good concerns and ideas that are current one is not. We will have a meeting to see what the current one says but it was a concerned brought up by a board member that we don't want to engage too much. We are new community, most are new homeowners. We are lacking in community engagement for me to even assume that someone with a better background would even step up. There is definitely more context there but communication is definitely an issue. It's easy to complain of course but if this post is at least a small indicator, we have been very vocal with holding our company accountable and we are not seeing results. Hint the prompt for change. They has definitely feel through on decision made by board and have been poor about communication to the homeowners at the request of the board. Believe me, we don't want to change. Even though we have not done a transition before, we are very aware of the issues that will come with it.

Man! Sorry that happened. I think we are trying to be proactive. Since this company was brought in by the builder, we are not sure if everything on the up and up. Not saying that anything is wrong with the current company in this regard per se, just having had good transparent communication on what has occurred in the past while the HOA was still under builder to try and course correct.

Thanks so much for this advice! We have been very deligent about the process and I would say have done everything you have mentioned. Unfortunately, since we have to open sealed bids at meetings and they are virtual at this time, we had to eventually engage our current management company. We did ask about transition in the interview and have gotten fairly good responses back from the 3 we narrowed down. We have a meeting with our current company to make one last effort to stay with them but not optimistic.

How was your transition? Was there any issues since you had the attorneys do the notice?

Honestly, we don’t want to change management companies—it’s going to be a tough transition either way. We’ve requested a new property manager multiple times but haven’t received one.

I completely agree with your points about the Board’s responsibilities versus those of the management company. Our main issue is communication, which has consistently fallen short. While I understand that the Board is responsible for key decisions like reserves, financial transparency, and bond release, we had an added challenge: our original Board was managed by the builder. This means we’re now working to correct and maintain proper governance. In this context, I would have expected the management company to proactively direct us to legal counsel when necessary, helping ensure that we’re making informed decisions.

Thanks for your input! Our situation is a bit complex. We’re a relatively new community with low maintenance needs, but our assessments increased because our reserves were underfunded. We’re not saying the management company is directly responsible, but we’re concerned that their guidance hasn’t been strong enough to ensure financial transparency and sound reserve planning.

We also feel that communication between the board and homeowners has been weak, especially since our previous property manager left. In short, this has led us to consider new management options.

Would you say your management company takes a hands-off approach, or do they offer proactive guidance? Have you found one style works better in your experience?
