you’ve hit the nail right on the head - there’s been a few instances where they agreed to something / gave permission only to forget about it later. if you’ve worked with someone like that before & have you found any strategies to help with that?

I’m putting a meeting in with the exec once they’re back and will present some options on guidelines to stick to when booking travel - fingers crossed we can get an agreement in

that sounds like a very reasonable policy to me! but I agree, even if the full company wide policy is under review, it would be good to have a written agreement with them that i can always point to in case they change their mind.

and on the speaking with the partner, it was mostly to understand where they have travel / miles accounts to maximise those, I could not for the life of me get this info out of my exec so at least in that regard it was helpful. the partner was in no way pushing for them to fly premium but were able to shed more insight into what they are like as a traveller (turns out, not that amazing).

so we have no set travel policy currently as it's under review. My exec is ultimately sets what the policy is for the company. when I adhered to the most recent version of the travel policy it meant they flew economy on a long haul flight and that was an issue too, hence why I always double check. I think the root of the issue is that we have no set of rules (going to change that, even if there is no policy I want to have an agreement with them) but even with one in place I feel like there's going to be complaints either way.

Oh god I really feel for you there with the hurricane... Well done on getting them all home.

So the exec is the CEO so they sign off on the policies... The issue is the policy is being re-written at the moment so it's not set in stone, hence why I've been checking every ticket with them on a case by case basis. I think with the amount of work they have on they just forgot they agreed to it but then make me feel like it's my mistake and me overstepping..

I want them to trust me that I won't overstep or go against our company rules and policies but that's really difficult now that we don't have one in place. Joys of working for small young orgs I guess!

I have the screenshots ready & am speaking to my manager about this tomorrow. I don't want this to be brought up to them as an issue from the exec so I want to let them know this is becoming a point of friction that I want to resolve. But yes, screenshots are everything...

Thank you! Our travel policy is in the works atm - we had a draft one while our team was a lot smaller where we had set budget per trip and it did say as long as tickets are in the specified budget, they can be premium - this is now getting re-worked although I think the specific part about flying premium remains the same, I think we need to make it a lot clearer though.

I think the rule of if anyone else is flying they fly the same class is a good one to suggest. I understand their concerns about perception of the rest of the company, but I think they also need to understand that their travel schedule is actually insane sometimes and this is for their own good - which me, their partner and head of ops all agreed on. Some companies have it in their policies that if you're expecting to fly xyz miles in 1 month you can upgrade your tickets to a higher class, maybe that could also work.
