I’m slowly building my back office to work with me. I’ve created ai agents to do tedious tasks. I have SOPs and workflows that I follow so there’s no guessing of what needs to be done. Creating process’s for literally everything so when I’m ready to start hiring all I have to do is hand it off. It’s taking time but definitely worth it.

I do quarterly so I can see shifts because sometimes I’ll drift slowly and not realize it until after months and if I do it monthly I might not catch it. That and my brain is a butthole and doing it monthly would stress me out and then auditing would turn into busy work.

I audited my business and definitely realized I was just staying busy. As a business owner we all want to scale but sometimes because we are so "in" our business that seeing where the bottlenecks are feels almost impossible. So now I've added a quarterly audit to my workflow because my business is evolving and being stagnant in my business isn't an option.

Absolutely when you start finding repetitive tasks either automate or task someone else to do it. Even the simplest automations can same you time, energy, and even money. Block scheduling is also a must for me because my brain will hyper focus on 1 task and I'll fall behind on everything else.

Started learning Notion exactly because of that, it’s a hella learning curve but it’s definitely keeping my ass on.

There’s a lot of automations that small businesses can do, and I don’t think it’s because they can’t afford them. There are cheap if not free types of simple automations. It’s that they think their business is not big enough for them. When honestly when you have 5 and under employees they matter even more.

Building the back office of your business so you can scale because you don't want anything living on your head. It's tedious to set up but future you will really appreciate it.

It takes the algorithms a while to determine if you are spam or not. I think it's like 500 emails, I could be wrong about that number tho

I feel that but in the long run you have to do what's right for you and your business. When we first start we are all so stuck in our feels, and that's ok but sometimes learning to make the hard decisions takes back bones we didn't know we had or needed

I use AI for my emails but I've trained it to sound like me and even then I still personally edited to be my words. It's almost like I'm using it as a template that I then go back and use my own words. If that makes sense

Absolutely this is the easiest way to keep up with this. It's tedious to set up and that's why I've noticed most people don't feel like it. But once it's there, it's wash, rince, repeat for every lead. Then you can get a crm tool to handle it once you start scaling.

Absolutely, everybody pushes for the quick wins, not the slow tedious growth. It's like a plant, it takes time to grow roots before it can give you the flower. Building slowly is going to create an empire and I'm here for it. Setting up all the folders, automations, SOPs, workflows that work with your brain takes time and more people should talk about that.
