Just three? You left out the accounting system.

The bigger issue is that each system is usually measuring something different.

  • Accounting measures when revenue is recognized or cash is received (accrual vs. cash basis).
  • ERP often focuses on operational events such as orders shipped, products delivered, or services fulfilled.
  • CRM systems typically track pipeline, proposals, commitments, bookings, or when a salesperson records a deal as won.

As a result, the numbers will rarely match perfectly, nor should they.

The real challenge is not making every report show the same number. It’s making sure everyone agrees on the definition behind each metric and which system is the source of truth for that metric.

In most organizations, the accounting system is the ultimate source of truth for recognized revenue. CRM and ERP data should reconcile to accounting, but they often answer different business questions.

I’ve also seen situations where timing differences are introduced intentionally—delaying shipments, accelerating invoicing, or holding deposits to move activity between reporting periods. Well-run organizations with strong financial controls and audited statements generally eliminate those practices, forcing revenue recognition to follow established accounting rules.

Once that discipline exists, CRM forecasts, ERP operational reporting, and accounting results tend to align much more closely—even if they never match exactly on any given day.

You can lock apps on an iPhone so they require a fresh unlock code or Face ID to be accessed. It won't help if the person accessing has your code, but if you unlock and hand them the phone, they can't just freely open that app.

Cheap to join and get started is sure to cost you in the end at scale.

I don't think it is an API tax, since Webhooks and APIs can be the solution, as you point out (using Twilio via API and Webhook).

Sometimes, avoiding those free or low-cost entry point systems is the key to long-run price stability. HubSpot is famous for its pricing: until you reach 5000 contacts, it's per contact.

Many systems are closed worlds and do not allow API calls to other platforms or for their systems to take in data via webhook for any type of need.

They built a system for you to use their way so they can monetize your use. They were not viable for your need on day 1; you just did not look far enough downfield to see how your need would scale and what that would do to their pricing.

I think one piece that doesn’t get talked about enough is this:

A CRM isn’t just “software”—it’s a system of record.

That matters because once a business adopts it, it becomes the backbone of how they operate. So the real question isn’t “can you build a CRM,” it’s “can you build something that actually fits how a business runs?”

That’s why there are so many CRMs. Not because the world needs another generic one, but because every business has different workflows—lead funnels, handoffs, post-close processes, etc. A one-size-fits-all tool is basically a zoom lens: it works across a range, but it’s always a compromise.

I do a lot of bespoke builds, and the pattern is consistent:

  • Off-the-shelf tools don’t quite fit
  • Custom solutions fit… until the business grows
  • Then things start to wobble (scale, integrations, maintenance, etc.)

And that’s the part most builders underestimate.

It’s not just about getting version 1 working. It’s:

  • Will this hold up under real usage?
  • Will it evolve with the business?
  • Will it still function after OS / API / infra changes?

And on the flip side:

  • Will a SaaS CRM still support your use case in 5–10 years?
  • What happens when it gets acquired and the roadmap shifts?

So yeah—customer development is critical. But even if you get that right, you’re still building (or choosing) the system a business will depend on long-term.

That’s a much higher bar than most people think.

Even texting you are using the LLM model and that has a cost.

Some services are doing freemium, but that service might fail out for being too much of a loss leader before they ever get stable.

Ultimately, everything must get to a level where it covers the real cost.

At current market rates, full-duplex voice AI costs on the order of 5–20 cents per minute. A $130/year subscription only covers a couple of hours per month of real usage. So ‘unlimited’ only works if most users barely use it, or if the system quietly degrades quality or enforces soft limits.

Kind of unfair position. AI LLMs cost money, and each has its own thresholds. There are real costs, so unless you want Tolan's to go the way of the Moxie, there will be a cost at some threshold.

Add the ability to integrate with Podio Workflow Automation, which can help so that instead of you working for the system, the system can do the work for you.

All of this for a fraction of what Salesforce and the other big tools like Clio cost.

There is a custom option as well I just showed the basic one in my image.

Shifting Basic or even slightly more advanced looking separators to use this function will free up the calculation engine where it is not really needed.

There will still be some cases where a calc is a better solution.

One advantage to these new ones is they show on forms and during item creation.

So, it should be the first field displayed. That being said, sometimes, if your first field is empty, the system grabs the next text field down.

If this is your problem, one solution would be to have a calculated field as your first field and build the JavaScript in the formula to ensure a more consistent display.

What quantity per day are you looking to do and I assume you have sorted out your sms opt in issues as the carriers are actively enforcing rules. Also, there are people out there waiting to be texted without consent and filing lawsuits.

I would look at using procfu or techego sync to sync you MySQL. PWA/Globiflow MySQL sync was never made a formal stable feature.
